The Role
We are seeking a Recruitment & Crew Booking Assistant to join our London team on a fixed-term contract until September 2026.
This role combines recruitment administration with operational crew booking responsibilities. You will support the full recruitment lifecycle while also working closely with the Account Management and Operations teams to ensure event crew are booked, scheduled, and managed efficiently.
Key Responsibilities
Recruitment & Resourcing
- Create and post job advertisements across job boards, social media, and recruitment platforms
- Review applications and shortlist suitable candidates
- Conduct initial phone screenings to assess suitability
- Schedule and coordinate interviews using the Applicant Tracking System (ATS)
- Act as a main point of contact for candidates throughout the recruitment process
- Maintain and update the ATS and CRM systems, ensuring accurate candidate records
- Support onboarding by collecting required documentation and verifying right to work in the UK
Crew Booking & Event Operations
- Liaise with the Account Management team to understand staffing requirements for each event
- Book event crew onto shifts using the CRM system
- Work closely with Operations Managers and Crew Managers for staffing recommendations
- Build and maintain strong relationships with new and existing crew, understanding their strengths, availability, and performance feedback
- Allocate crew based on logistics, availability, and Crew Chief reports
- Ensure all crew are informed of shift details and updates in advance
- Manage and communicate last-minute changes, resolving scheduling conflicts promptly
- Provide practical staffing solutions under tight deadlines
- Ensure all jobs and bookings are accurately updated and maintained within the CRM
About You
- Strong organisational and time-management skills
- Excellent communication skills with a confident and professional phone manner
- High attention to detail and accuracy
- Ability to multitask and prioritise effectively
- Comfortable working under pressure in a fast-paced environment
- Proficient in Microsoft Office
- Experience using ATS and/or CRM systems (preferred)
- Previous experience in recruitment, administration, booking, or scheduling (preferred)
- Good knowledge of London logistics (preferred)
- Flexible approach with willingness to work occasional out-of-hours and weekend on-call shifts (rota basis)
- Punctual, reliable, and able to work well within a team
- Ability to commute to our Stratford office five days a week
