Role Overview

The Post Room Officer will support the secure and efficient handling of all mail and parcels across the estate, ensuring timely delivery, accurate logging, and consistent application of security procedures. Reporting directly to the Post Room Supervisor, you will play a key role in screening incoming items, supporting estate departments, and maintaining high standards of professionalism, safety, and operational efficiency.

Your core responsibilities will include Operational Support & Workflow Handling
  • Assist with the day‑to‑day processing of incoming and outgoing mail, parcels, and courier deliveries.
  • Follow all Standard Operating Procedures (SOPs) to ensure secure and efficient handling of items.
  • Support delivery scheduling with tenants, estate teams, and courier partners.
Security Screening & Threat Awareness
  • Operate mail screening equipment under the direction of the Post Room Supervisor.
  • Follow established security protocols and NaCTSO guidance for mail handling.
  • Report suspicious packages or anomalies immediately to the Post Room Supervisor or Control Room.
Compliance & Risk Management
  • Maintain secure handling of sensitive, confidential, or high‑value items.
  • Follow procedures relating to custody, sign‑off, and item tracking.
Team Support & Coordination
  • Work collaboratively with Post Room colleagues, supporting a positive and professional working environment.
  • Participate in training covering:
    • Screening procedures
    • Suspicious package identification
    • Emergency response protocols
    • Use of x‑ray and detection equipment
  • Carry out basic checks of screening and handling equipment.
