About the role

Reporting to the Associate Director, Event Management, Congress & Convening, you’ll manage the planning, coordination and operational delivery of global events - from event project planning and management through to on-site coordination and post-event evaluation.

You’ll work across international teams and with global partners to ensure every event is delivered seamlessly, professionally, and to the highest standard.

Key Responsibilities

Event project management and cross-teams coordination

  • Manage the planning and delivery of the Council’s global events, including the World Energy Congress, ensuring clear timelines, milestones, dependencies, ownership, and decision points are in place.
  • Act as a central project coordination point, working closely with all teams involved to ensure alignment across work streams and timely delivery of actions.
  • Develop,maintain, and regularly update the event project plan, ensuring actions, risks, issues, and dependencies are tracked and escalated as needed.
  • Coordinate cross-functional project meetings, prepare agendas and status updates,capture decisions and actions, and proactively follow up with internal and external stakeholders to ensure progress remains on track.
  • Collaborate with cross-functional internal teams (e.g.,programme, sales, communications, membership and partnerships) to ensure alignment on operational requirements.
  • Liaise with external stakeholders, including partners, venues, suppliers, and contractors to ensure high-quality, timely, and efficient delivery.
  • Manage post-event operational close-out, including evaluations, feedback, lessons learned and supplier debriefs, identifying opportunities to improve future event delivery.
  • Provide insights for continuous improvement of future events.
  • Operate effectively within a culturally diverse and international environment, demonstrating sensitivity to cultural nuances and global stakeholder dynamics.

Logistics, operations and production

  • Identify, evaluate and recommend appropriate event delivery partners and suppliers, including venues, production and AV companies, registration providers, caterers, security providers and other specialist suppliers, in line with event requirements, procurement processes and budgets.
  • Develop supplier briefs, scopes of work and RFP/tender documentation, support competitive procurement processes, evaluate proposals and contribute to supplier selection and appointment.
  • Manage appointed suppliers throughout the event lifecycle, ensuring clear deliverables, timelines, service levels and responsibilities, and monitoring performance against agreed contractual requirements and budgets.
  • Coordinate event logistics and operations, including venues, audiovisual services, technology, staging, production, catering, destination management, registration, attendee management, safety and security, and other key functional areas, ensuring delivery within agreed budget, staffing, and time parameters.
  • Develop and maintain operational risk assessments and contingency plans, working with venues, suppliers and internal teams to ensure appropriate health, safety, security and emergency procedures are in place.
  • Ensure that the event delivery meets the Council’s quality standards and reflects its values of sustainability, diversity, and openness, while aligning with the Council’s vision, mission, branding, and event theme.
  • Implement the experience design plan, providing technical and creative input on room layouts, formats, staging, scenic design, signage, and overall production planning in alignment with the event’s objectives, vision, and theme.
