IT Portfolio Management Office Specialist.

Location:

London | Cambridge.

Employment Type:

Full-time, Hybrid.

Responsibilities
  • Own and operate the stage gate / governance process end-to-end (scheduling, pack readiness, inputs/outputs, decisions and actions tracking).
  • Conduct delivery assurance activities to identify delivery risks, control gaps, and improvement opportunities; ensure follow-up actions are owned and closed.
  • Operate the mechanics of the supply/demand process (intake hygiene, forecasting roll-ups, constraints log), escalating capacity decisions to the PMO Director/leadership forums.
  • Track portfolio status, milestones and delivery health, maintaining accurate roll-ups and highlighting trends.
  • Identify and flag hotspots / risk areas early; support escalation and resolution by ensuring data quality, clear narratives, and action tracking.
  • Maintain governance traceability between initiative status, business case milestones, and expected benefits to support portfolio-level value reporting and Post Implementation Review.
Qualifications
  • Proven experience in a PMO / portfolio operations role supporting multiple projects/programmes.
  • Hands-on experience running portfolio governance / stage gate processes and maintaining high data quality and adherence to standards.
  • Demonstrated ability to deliver continuous improvement to processes, templates, reporting and tooling.
  • Strong stakeholder management skills to work independently with PMs/PgMs, delivery leads, and enabling functions to drive timely inputs and decisions.
  • Strong written and verbal communication skills, including producing concise packs and clear portfolio narratives (risks, issues, decisions, actions).
  • Competent with common PPM tooling and reporting (e.g., Adobe Workfront, planning tools inc. MSP, portfolio registers, SharePoint/Teams, spreadsheets).
Desirable skills
  • Experience with delivery assurance approaches and turning findings into actionable improvements.
  • Familiarity with delivery excellence / agile / Dev Ops practices and governance/reporting implications.
  • Strong reporting and dashboard capability (e.g., Power BI) and ability to automate/streamline reporting and stage gate workflows.
  • Experience facilitating communities of practice and driving adoption of standards through enablement (training, playbooks, clinics).
  • Comfort using AI-assisted tools to improve efficiency in portfolio admin, reporting, and insights generation.
  • Experience supporting PCAOB/SOX compliance in an IT/portfolio delivery context, including evidence management, control checkpoints, audit-ready documentation.
