EA to President & Leadership Board | 12 month FTC | London
The role will support the President and the Leadership Board starting at the end of January for a 12‑month fixed‑term contract. The Executive Assistant will serve as a liaison between the President, the Chairman and senior clients, and will manage a range of administrative and strategic responsibilities to ensure smooth operations of the Executive Office.
Role OverviewThe position reports to the Director of Talent for personal management and to the President for day‑to‑day tasks. This role sits within the Engine central function and will coordinate activities across the business, maintain confidentiality and support the President and a group of five Managing Directors.
Start date - end of January.
Primary Responsibilities- Diary management, travel arrangements and Outlook inbox management for the President and Chairman.
- Attend fortnightly HLB meetings, set agendas, record minutes and track action items.
- Create weekly and monthly company meeting slides in collaboration with the People Assistant.
- Oversee internal communications and client interactions, flagging matters requiring President’s input.
- Organise HLB off‑site meetings: logistics, budget, venue selection and presentation decks.
- Arrange client and HLB entertainment including lunches, dinners and venue bookings.
- Provide light diary support for five Managing Directors, booking external meetings and lunch appointments.
- Process President’s expenses across company credit cards and input into Maconomy.
- Schedule regular meetings with President’s direct reports, including annual appraisals and mid‑year reviews.
- Prior experience as an admin, PA or EA in a fast‑paced office.
- Excellent verbal and written communication skills.
- Ability to work collaboratively and positively affect senior teams.
- Proactive, confident, and capable of dealing with senior colleagues.
- Strong Microsoft Office skills (Outlook, Excel, Word, PowerPoint) and familiarity with ChatGPT.
