As a Facilities Coordinator within Operations, you'll inspire customer delight and achieve exceptional outcomes, acting as a "one team" ambassador for CBRE and our Client brand within Workplace Operations. You'll oversee daily Facilities Services, delivering high-quality customer experiences and fostering a safe, fun, and efficient workplace, including office administration, health & safety, and ad-hoc requests.
The ideal candidate is customer-focused, highly motivated, proactive, and takes great initiative to ensure smooth office operations.
Core Responsibilities Quality, Health, Safety & Environment- Champion a robust safety culture by logging hazards, ensuring resolution, and upholding all in-country health and safety legislation.
- Adhere strictly to CBRE & Client Health & Safety Policies, reporting incidents, and supporting site safety permits, audits, and emergency drills.
- Complete monthly compliance tasks, contribute to incident reports, and maintain strong relationships with clients, colleagues, and suppliers.
- Lead team huddles and proactively manage facilities issues and service requests via the ticketing system.
- Maintain impeccable office appearance through scheduled inspections, ensuring spaces are tidy and presentable, and fostering team ownership.
- Deploy standard operating procedures to guarantee consistent, high-quality service delivery across all aspects (FoH, BoH, Logistics, etc.).
- Support site inspections, ensure brand consistency in signage, and assist with Facilities communications and technical support.
- Ensure appropriate staffing coverage, coordinate event setups, assist with office moves, and manage lost and found processes.
- Oversee mailroom, logistics, stationery, distribution, and porterage services, providing FoH and administrative support as needed.
- Collaborate with your line manager on contract management, financial administration, quality management, and People systems.
- Ensure delivery of all contractual SLAs & KPIs, provide data, and act as a REWS ambassador.
- Enhance team culture through recognition, motivate performance, and embed the Performance Management cycle.
- Actively participate in CBRE’s Performance Management, coaching team members, and leading work allocation, attendance, and performance management.
- Engage with the CBRE People team for policy guidance, and liaise with Operations to ensure appropriate staffing, efficient scheduling, and absence monitoring.
- Contribute to monthly People reporting, including absenteeism.
- Manage, coordinate, and supervise supplier personnel and subcontractors to ensure satisfactory service delivery.
- Log and track supplier-related issues to optimize customer outcomes and ensure compliance with all supplier processes.
- Complete team spend trackers to support operational budget management where applicable.
- Strictly adhere to requisition/PO processes, ensuring no work without a valid Purchase Order.
- Support and recommend revenue contribution initiatives to exceed plan.
- Contribute to First Day Of Business preparation and execution.
- Recommend initiatives to improve operations or customer experience, and encourage team innovation.
- Support planning and managing building projects and renovations.
- Embrace change, supporting site-level initiatives and actively seeking innovation for contract improvement.
- Undertake any other duties as reasonably requested by your line manager.
