About the Role The Manager, Portfolio Administration will lead and oversee a team responsible for critical portfolio administration and investment operations functions supporting the global business needs of Loomis Sayles. This role will manage day-to-day execution across areas such as derivative operations, collateral management, client cash flow confirmation, portfolio accounting, reconciliation, and operational reporting. The Manager will be responsible for developing team members, strengthening controls, improving processes, resolving escalated issues, and partnering with internal and external stakeholders to support the firm’s evolving global infrastructure.

About the Team The Portfolio Administration department has over 50 members in the US and UK, working remotely across the globe. The department consists of seven teams, including Central Cash Management, Derivatives Operations, two daily Mutual Funds Operations teams, and three reconciliation teams managing client accounting and reporting. The Manager will provide leadership within this department, ensuring the London team delivers accurate, timely, and client-focused service to Loomis Sayles and its clients worldwide.

Job Responsibilities Team Leadership and Operational Oversight Manage, coach, and develop Portfolio Administration team members, including workload allocation, performance guidance, training, and career development

Oversee daily operational activities to ensure timely, accurate, and controlled execution of portfolio administration functions

Serve as an escalation point for complex operational issues, coordinating resolution across internal teams, custodians, vendors, and other external partners

Collateral Management, Derivatives Operations, and Central Cash Oversee cleared derivative operations, collateral management, reconciliation, margin instruction, and related issue resolution

Manage and improve the client cash flow confirmation process on behalf of portfolio management and trading teams working European hours

Ensure team procedures, controls, and documentation are current, consistently followed, and aligned with business needs

Portfolio Accounting and Reporting:

Oversee the input, verification, and control of cash transactions, securities data, pricing, and other portfolio accounting information

Ensure accurate and timely production of standard and ad hoc reports for internal stakeholders, external partners, and client-related requests

Partner with trading, portfolio management, technology, compliance, and client-facing teams to improve operational workflows and data quality

Monitor trade data flows from trading desks and counter parties to ensure accurate transformation into accounting systems and timely reporting to custodians

Reconciliation and Controls:

Oversee timely reconciliation of holdings, cash, and transactions between internal systems, custodian banks, and other external records

Maintain strong control standards by ensuring discrepancies are documented, escalated, resolved, and reviewed appropriately

Use operational metrics and reporting to identify trends, reduce risk, and improve team efficiency and service quality

Vendor, Industry, and Stakeholder Relationships:

Manage relationships with vendors, custodians, counter parties, and other institutions to improve service quality and stay current on industry and market developments

Represent Portfolio Administration in cross-functional initiatives, system enhancements, process redesign efforts, and business readiness activities

Qualifications & Education Requirements Bachelor’s degree or equivalent experience required

Meaningful experience in investment operations, portfolio administration, portfolio accounting, derivatives operations, reconciliation, or related asset management operations functions

Prior experience managing, supervising, mentoring, or leading operational professionals

Strong knowledge of fixed income, equity, derivative, cash, and/or portfolio accounting workflows

Proficiency with Microsoft Excel and ability to use data, reporting, and operational metrics to manage risk and drive improvement
