Job Summary
An exciting opportunity to join the Outpatient Clinics department as an Administrator within the Women’s and Children’s Clinical Centre Directorate. The Administrator is the first point of contact for patients and visitors, providing warm, professional and efficient reception services at Charing Cross, Hammersmith and St Mary’s hospitals. The role operates 8.30‑5.30 am, Monday‑Friday, with shift work across sites.
Main Duties- Provide a welcoming and inclusive environment for patients, families and visitors.
- Deliver outstanding customer service, answer queries and manage appointments accurately and efficiently in line with the North West London Elective Access Policy.
- Perform daily data‑quality checks, proof‑reading and support audio typing.
- Use initiative to solve day‑to‑day problems, keep patients informed and raise concerns when required.
- Work flexibly across departments and sites, upholding patient confidentiality, data quality and Trust values.
- Educated to A-level standard (Level 3) or equivalent demonstrated through work or structured learning.
- Experience in a customer‑facing role (e.g., reception, hospitality, retail, call handling or administrative).
- Experience working in a busy environment with competing demands.
- Outstanding interpersonal and customer service skills – warm, calm, welcoming and able to put people at ease.
- Strong digital fluency – confident and efficient user of multiple digital systems, strong keyboard skills and ability to prioritise, validate and reconcile information.
- Problem‑solving and initiative – able to identify issues and take appropriate action or escalating as needed.
- Ability to remain composed under pressure, manage queues, difficult conversations or conflicting priorities.
- Customer service training or similar non‑clinical qualification.
- Experience working with diverse cultural, social and linguistic backgrounds.
- Experience of using electronic patient record databases and dictation systems.
- Experience of working within a healthcare service.
- Ability to communicate in more than one language commonly spoken in north‑west London.
