About the Position
We are seeking a dedicated and professional Full-time School Receptionist to join our educational institution. The ideal candidate will be the first point of contact for students, parents, staff, and visitors, embodying our school's values and creating a welcoming atmosphere. This role requires excellent communication skills, proficiency in childcare, strong organizational abilities, and efficient typing skills.
Key Responsibilities- Reception Duties:
- Greet and welcome all visitors, students, and staff in a friendly and professional manner
- Answer and manage incoming phone calls, emails, and general inquiries
- Direct visitors to appropriate departments or staff members
- Maintain a clean and organized reception area
- Manage visitor sign-in procedures and issue visitor badges
- Administrative Support:
- Handle incoming and outgoing mail and packages
- Maintain and update school calendars and schedules
- Assist with photocopying, scanning, and filing documents
- Prepare and distribute memos, letters, and other correspondence
- Manage office supplies inventory and place orders when necessary
- Student Support:
- Assist with student attendance records and follow up on absences
- Provide basic first aid to students and staff when needed
- Coordinate with school nurse for more serious medical issues
- Help manage student records and files
- Assist with student registration and enrollment processes
- Childcare and Safety:
- Monitor student arrival and dismissal procedures
- Ensure all visitors follow proper check-in and check-out procedures
- Assist with supervising students in common areas when needed
- Be familiar with and follow all school safety protocols and emergency procedures
- Communicate any safety concerns to appropriate staff members
- Communication and Liaison:
- Act as a liaison between parents, teachers, and administration
- Relay messages and information accurately and promptly
- Assist in coordinating parent-teacher conferences and other school events
- Maintain confidentiality regarding student and staff information
- Provide general information about school policies and procedures to parents and visitors
- Technology and Data Management:
- Utilize school management software for various administrative tasks
- Maintain accurate and up-to-date records in digital systems
- Assist with basic troubleshooting of office equipment
- Generate reports and compile data as requested by administration
- Ensure all technology use complies with school policies and data protection regulations
