Overview
Peak Gastroenterology ASC is seeking a Business Office Scheduler. Under the direction of the Business Office Manager, this role is responsible for daily maintenance of the surgery schedule and all aspects of the scheduling process. This includes strategizing and problem solving and ensuring high levels of customer service with scheduling coordinators from all doctors' offices and Operating Room Staff. The successful candidate will possess leadership, communication and customer service skills, and the ability to diffuse scheduling conflicts efficiently with strategy.
The candidate should have prior successful customer service encounters or programs.
- Sets priorities and organizes work.
- Schedules patient procedures to ensure efficient and accurate processing of information, including operating room procedures, vendor coordination, and arrangements for 23-hour stay.
- Coordinates with anesthesia groups to confirm scheduling coverage.
- Accurately uses procedure codes to ensure proper billing.
- Verifies information entered into the system (e.g., spelling of name, DOB, gender, insurance information).
- Ensures all necessary paperwork for any patient add-on is received by the appropriate staff.
- Communicates schedule changes to appropriate staff.
- Works closely with the OR Manager and Materials Manager to avoid equipment or supply conflicts.
- Alerts administration when new doctors or procedures are scheduled.
- Cross trains with other business office areas.
- Accepts other duties as assigned.
- Completes consents and ensures accuracy before submitting to the chart builder.
- Promotes positive relationships with scheduling coordinators, physicians and nursing staff throughout the scheduling process.
- Minimum 1-2 years of hospital, ASC, or medical office scheduling experience required.
- Ability to communicate verbally and non-verbally in a professional way.
- Ability to use time wisely in preparing work area to meet high-paced demand.
- Desire to work and contribute to the ASC overall improvement.
- Professional appearance and attire.
- Strong familiarity with medical terminology and willingness to learn multiple specialties.
- Excellent phone etiquette and exceptional customer service skills.
