The Project Coordinator supports project managers, field crews, and CAD teams by organizing project information, scheduling activities, tracking progress, and ensuring deliverables meet client expectations and industry standards. This role plays an essential part in keeping Subsurface Utility Engineering (SUE) projects moving efficiently from initiation through closeout while maintaining accuracy, communication, and compliance with applicable standards such as ASCE/CI 38.22.
Work Environment:Remote
Project Planning & Setup- Assist with project initiation, including creating subsurface maps, collecting utility records, and setting up documentation in company systems.
- Review project requirements, scope, and client specifications to ensure proper setup for field and office teams.
- Coordinate with clients, utility owners, and internal staff to gather required records and background information.
- Develop and maintain project schedules, ensuring timely deployment of field crews and CAD resources.
- Track project phases (records research, field locating, CAD, QA/QC, deliverables) and adjust timelines as necessary.
- Coordinate communication between Project Managers, field technicians, CAD staff, and clients.
- Organize and maintain SUE project documents including utility records, site maps, field sketches, CAD files, reports, and correspondence.
- Perform data entry and file management in company platforms (e.g., Salesforce, G-Drive).
- Ensure proper filing of all project documentation.
- Assist with QA/QC processes by verifying completeness of field sketches, photos, and utility records before sending to CAD or clients.
- Support Project Managers by checking deliverables for accuracy, consistency, and compliance with standards such as ASCE/CI 38-22.
- Serve as a point of contact for routine client updates, scheduling confirmations, and project status tracking.
- Draft and distribute project correspondence, meeting summaries, and status reports.
