Introduction

We are currently hiring a Project Coordinator to support our client, a leading biopharmaceutical company, in coordinating operational and project activities across internal and external stakeholders. This role requires strong organizational skills, the ability to manage multiple priorities, and a proactive approach to resolving issues and supporting business initiatives.

Responsibilities

  • Coordinate purchase orders and invoices within SAP and other procure-to-pay systems; track expenditures and budgets across therapeutic areas
  • Support conference and event logistics, including booth coordination, marketing materials, and attendee planning
  • Assist with stakeholder communications related to product launches, pricing changes, backorders, and updates
  • Provide administrative support for Group Purchasing Organization (GPO) contracts, ensuring timelines and documentation requirements are met
  • Monitor budgets monthly, including open POs and accrual tracking
  • Maintain accurate and organized documentation within SharePoint and ensure SOPs/MSAs are properly stored in Icertis
  • Participate in team meetings and collaborate cross-functionally to support knowledge sharing and best practices
  • Develop and update SOPs and internal processes to support standardization and operational efficiency

Requirements

Must-Have:

  • 3–5 years of experience in a senior administrative or coordination role
  • Strong ability to manage multiple projects simultaneously
  • Highly organized with strong attention to detail and quality standards
  • Excellent teamwork and collaboration skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work in a fast-paced environment and adapt to changing priorities
  • Strong communication skills with the ability to work effectively with diverse stakeholders
  • Ability to handle confidential information with discretion

Nice-to-Have:

  • Experience in the pharmaceutical or healthcare industry
  • Familiarity with SAP and/or Icertis systems
  • Experience supporting budget tracking and financial processes

Additional Information

  • This role requires fluency in English due to collaboration with stakeholders outside of Quebec

Nous sommes actuellement à la recherche d’un(e) coordonnateur(trice) de projets pour soutenir l’un de nos clients, une entreprise biopharmaceutique de premier plan. Le titulaire du poste sera responsable de coordonner les activités opérationnelles et les projets avec les parties prenantes internes et externes. Ce rôle exige un excellent sens de l’organisation, la capacité de gérer plusieurs priorités simultanément ainsi qu’une approche proactive pour résoudre les enjeux et soutenir les initiatives d’affaires.

Responsabilités

  • Coordonner les bons de commande ainsi que les factures dans SAP et autres systèmes procure-to-pay; assurer le suivi des dépenses et des budgets par aire thérapeutique
  • Soutenir l’organisation de congrès et d’événements (coordination des kiosques, matériel promotionnel, logistique des participants)
  • Appuyer les communications avec les parties prenantes concernant les lancements de produits, les changements de prix, les ruptures de stock et autres mises à jour
  • Assurer un soutien administratif aux contrats avec les groupements d’achats (GPO), en respectant les échéanciers et les exigences documentaires
