Summary: The Facilities Specialist plays a key role in supporting the maintenance, operation, and safety of the organization’s physical facilities. Responsibilities include ensuring that facilities are functional, efficient, and well-maintained to meet the needs of employees and visitors while working closely with vendors, contractors, and internal teams to address facility needs, respond to service requests, and ensure compliance with safety and building regulations.

The successful candidate will be detail-oriented, proactive, and possess excellent problem-solving and communication skills to effectively manage maintenance tasks and collaborate with diverse teams.

Salary Range: $20-$28 per hour (DOE), FLSA non-exempt (OT eligible).

Key Responsibilities:

  • Conduct routine inspections of campus facilities, including office buildings, fabrication shops, warehouses, parking lots, and general groundskeeping areas, to identify and address maintenance needs.
  • Assist with minor repairs and installations, such as furniture assembly and basic maintenance tasks.
  • Coordinate with internal trades, external vendors, and contractors to complete specialized repairs efficiently.
  • Monitor building systems, including HVAC, lighting, elevators, and security, ensuring proper operation and addressing issues promptly.
  • Assist in the setup, rearrangement, and cleanup of work spaces, meeting rooms, and event spaces to maintain readiness and cleanliness for company events.
  • Coordinate and assist with moving or relocating heavy items, boxes, and equipment as required.
  • Track and manage inventory of facility supplies, including light bulbs, small tools, and cleaning materials, ensuring adequate stock levels.
  • Ensure compliance with local, state, and federal safety regulations and building codes, in collaboration with the Facilities Coordinator.
  • Conduct regular campus safety inspections and promptly report any potential hazards.
  • Respond to emergency maintenance requests and resolve issues effectively.
  • Assist in planning and executing facility upgrades, renovations, or construction projects, adhering to timelines and budgets.
  • Maintain accurate records of maintenance schedules, repairs, and project timelines for organizational efficiency.
  • Provide labor support for special projects, such as office reconfigurations or new furniture installations.
  • Assist in event-related tasks, including material delivery, setup, and post-event cleanup.
  • Support sustainability initiatives, such as energy efficiency improvements, waste reduction programs, and campus recycling efforts.
  • Respond promptly and professionally to facility-related service requests from employees.
  • Address ad hoc requests for assistance, such as moving or organizing items, in a timely and professional manner.
  • Maintain open communication with staff to understand and address their facility needs.

Relationships:

  • Maintain and foster proactive and positive relationships within the JH Kelly team, management, operations team, and the crafts, including shop and field craft personnel, safety, CAD/BIM, accounting, IT, and all project teams.

Experience / Qualifications:

  • High school diploma or equivalent certification.
  • Minimum of two (2) years of experience in facilities maintenance or a related field.
  • Proficient in computer use, including web-based programs and data entry.
  • Proficiency in MS Office tools including Word, Excel, and Outlook.

Necessary Skills:

  • Proficiency in basic maintenance tasks (e.g., plumbing, carpentry, electrical work).
  • Strong organizational skills and attention to detail.
  • Ability to work independently and prioritize tasks effectively.
  • Familiarity with safety and building codes, regulations, and best practices.
