About the Role
Client Access Specialist – Riveon Mental Health and Recovery
As a Client Access Specialist, you will provide client‑centered administrative support across multiple locations, serving as the first point of contact for clients, visitors, and vendors. You will greet, check‑in, and direct clients, manage demographics, insurance, and billing information, schedule appointments, and maintain client confidentiality.

Provide client‑centered administrative support in an office environment and at off‑site locations, ensuring smooth client flow, accurate data entry, timely billing, and compliance with all privacy and safety policies.
Essential Job Functions- First point of contact: greet, check‑in, direct clients, vendors, and visitors; maintain orderly waiting areas.
- Collect and update client demographic, insurance, payer, clinician assignment, program, and financial information; relay billing data to the Billing Supervisor; maintain ROI database.
- Determine client eligibility for entitlement programs and sliding fees; complete documentation; keep client data current; coordinate with third‑party payers for coverage verification.
- Schedule clinical appointments using the EMR; place reminder calls; distribute surveys and informational materials; arrange client transportation.
- Answer incoming calls, route appropriately, and use the central paging system.
- Ensure compliance with policies and procedures, maintaining PHI confidentiality.
- Travel between agency sites to deliver work‑related materials.
- Provide clerical support: photocopying, faxing, printing, scanning; schedule interpreters as needed.
- Participate in team training, coaching peers, rotating locations, and covering assignments.
- Initiate purchase orders for departmental supplies.
- Adapt to change, handle stress, maintain attendance, punctuality, teamwork, problem‑solving, and meet all other assigned duties.
- Working knowledge of Riveon policies, client rights, confidentiality, and safety issues.
- Consistently pleasant and courteous disposition to support excellent customer service.
- Comfortable with computer, mouse, Windows, Word, and Excel for check‑in and scheduling.
- Knowledge of proper phone etiquette and conflict‑resolution techniques.
- Sensitivity to different cultures.
- Office environment; predominantly seated and telephone use.
- Occasional bending, stooping, walking, lifting minimal loads.
- Regular computer use; requires near‑vision ability.
- Extensive face‑to‑face client contact; excellent verbal communication skills required.
- High school graduate or equivalent.
- Minimum typing of 35 wpm.
- At least one year of receptionist/switchboard experience in a health‑care setting, or three years of general receptionist/clerical experience.
- Strong customer service orientation and experience.
- Ability to follow written and oral instructions with good judgment and work under minimal supervision.
- Manual dexterity and oral communication skills.
- Ability to work in a fast‑paced environment with multiple priorities.
- Knowledge of phone etiquette; ability to handle difficult customers.
- Computer experience preferred (Windows, Word, Excel).
- Favorable references or evaluations.
- Bilingual (English/Spanish) is a plus.
- Experience with EMR (Electronic Medical Records) is a plus.
