Responsibilities- Provide direction, supervision, and coordination of office flow and activities.
- Support coordination and maintenance of files and data activities for efficient operation.
- Assist leadership with departmental activities including education, communications, program development, time‑keeping, reporting and special projects.
- Oversee physician support staff scheduling, time‑card maintenance, and operations across multiple practice sites.
- Manage centralized processes such as appointment scheduling, prescription refill service, and transcription support.
- Serve as liaison to Health Information Management (HIM) and lead EHR on‑site coordinator for the department.
- Facilitate physician onboarding, including form submission, lab coat & business card orders, and EHR training schedule.
- Provide support for expenditure tracking and financial document processing.
- Monitor daily operations of administrative staff, conduct orientation of new hires, maintain position descriptions, performance standards, and monthly performance meetings.
- Implement and evaluate policies and procedures; recommend changes to leadership.
- Act as Super‑User and trainer for the electronic health record, lead change management for system enhancements, and maintain policies and procedures.
- Processing and timely entry of prescription refill requests, dictation, payroll/time‑card processing.
- Enhance departmental performance through continuous assessment and process improvement.
- Maintain effective intra‑departmental and inter‑departmental communication, including written and verbal follow‑up, voice mail, and email.
- Develop and provide educational materials and training for staff as needed.
- Perform other duties assigned by the Director or designee.
- High school diploma or equivalent.
- 1–2 years of administrative operations experience in an outpatient setting.
- Knowledge of EHR and financial systems (Lawson, Kronos, Kuali, etc.).
- Ability to work independently with minimal direction and supervision.
- Strong organization and time‑management skills.
- Commitment to excellence in patient care and customer service.
- Effective, appropriate, and diplomatic oral and written communication skills.
- Previous supervisory or managerial experience.
- Fire Life Safety Training (La City). If no card upon hire, must be obtained within 30 days and maintained continuously.
$68,640.00 – $ per year.
