Responsibilities for Corporate Legal Secretary:
- Provide secretarial support to attorneys, including: creating, editing, revising, redlining and/or proofreading documents from handwritten, typed and/or electronic copy
- Prepare and distribute internal and external communications, including letters, memos, emails and reports
- Prepare new client/matter intake forms and engagement letters, liaising with the Conflicts team, General Counsel and Finance Committee as needed
- Process and monitor expense reports/reimbursements, vendor bills and check requests, delegating to Legal Administrative Support as appropriate
- Support the billing process: assisting attorneys with, proofreading, editing and releasing time entries and prebills while coordinating with the billing team on the mailing of invoices
- Assist with managing the calendars of assigned attorneys: coordinating meetings, making travel arrangements and arranging additional support, e.g. catering, technology and office services
- Liase with other support teams at the Firm, including the coordination and tracking of projects and tasks delegated to Word Processing, Legal Administrative Support and Office Services teams
- Promote and champion efficient work practices with attorneys, including electronic prebills, mobile time entry and new technologies as they are rolled out to the Firm
- Maintain administrative and client files in electronic and/or paper format adhering to the Firm's Information Governance policies and best practices
- Support other legal support services department projects and initiatives as needed, including providing back-up support to other legal secretaries firmwide
- High School Diploma, or equivalent, required;
Bachelor's degree preferred - 5+ years of legal corporate/transactional secretarial experience directly supporting transactional attorneys is required
- Infrastructure experience is preferred, but not required
- Familiarity with and strong working knowledge of legal terminology
- Experience supporting multiple attorneys simultaneously
- Advanced knowledge of Microsoft Office and various legal software applications (i.e. iManage, Litera Change Pro, Chrome River, etc.)
- Experience with timekeeping/billing software; experience with Aderant preferred
Compensation: $80,000 - $105,000
