Characteristics of the Class
Under general direction of executive staff, provides personal and confidential administrative support to the executive office. The incumbent initiates and assumes primary responsibility for planning, preparing and disseminating information, reports, general correspondence, and various activities of the executive office. The individual in this classification will also be responsible for scheduling and call management as directed by executive staff. The Executive Assistant will establish and maintain effective working relationships with officials, community groups, and other private and public agencies.
Essentialand other important responsibilities and duties may include, but are not limited to the following:
- Opens, receives, and routes incoming executive office mail; secures information on the status of pending matters; screen telephone calls, office visitors; schedule appointments, meetings, speaking engagements, and travel arrangements for the executive office
- Assists in the preparation of the Board of Commissioners and committees agendas; prepares resource and background material for agenda items; as needed, serves as custodian of records for all minutes, agendas, and recommendations of the Board of Commissioners and committees
- Participates and assists in the administration of the executive office by researching, reviewing, analyzing, and making recommendations concerning a variety of issues and programs
- Researches, compiles, and organizes information for use by executive staff in the completion of various reports, recommendations, and special projects
- Responds to complaints and inquiries from community groups, residents, and other public and private agencies; refers inquiries as appropriate
- Drafts and edits letters, reports, memoranda, forms, and general correspondence for the executive office; responds to letters and general correspondence of a routine nature
- Organizes and maintains executive office manuals, office files, records, and indexing system
- Gathers and maintains background materials as related to the Housing Authority
- Disseminates federal and state information and materials to appropriate staff
- Performs other related duties as may be assigned.
Bachelor's degree from an accredited college in Public or Business Administration, or a closely related field & three (3) years of professional level experience in a responsible staff capacity requiring high level oral and written communication skills & or an equivalent combination of training and experience.
