Job Description:
Bluewater is seeking a highly organized, detail-oriented Operations Specialist to help drive sales effectiveness and operational accuracy. This person will support the end-to-end deal execution process, from customer onboarding through payment processing and reporting. The ideal candidate thrives in fast-paced environments, has strong communication skills, and loves bringing structure to growing processes.
Key Responsibilities:Customer and Vendor Onboarding
- Manage customer and vendor onboarding, ensuring all forms are complete and accurate.
- Perform vetting and ACH verification for new accounts.
- Partner with Sales to communicate onboarding and deal status updates.
- Send proforma invoices and track incoming payments.
- Follow up on outstanding balances to support timely collections.
- Review incoming invoices, verify accuracy, and process outgoing payments.
- Respond to Sales inquiries related to payments and invoicing.
- Review and approve deals for accuracy and compliance before converting to Sage Intacct.
- Edit and maintain sales documentation, including unlocking or updating records.
- Function as a liaison between sales, finance, and other relevant teams to ensure smooth deal processing.
- Review the Open Jobs Report and support weekly Open Jobs Meetings.
- Track and communicate deal status to internal stakeholders.
- Identify and recommend process improvements to increase efficiency and reduce errors.
- 1-4+ years of experience in operations or related fields within a B2B setting.
- Proficient in CRM and ERP systems (Zoho CRM, Sage Intacct, or similar).
- Familiarity with invoicing, payments, and onboarding workflows.
- Highly detail-oriented and organized; strong problem‑solving skills.
- Excellent communication skills, with the ability to collaborate across teams.
- Entrepreneurial mindset with comfort moving in fast‑paced environments.
