About the Role

We’re looking for a highly organized and enthusiastic Samples & Office Coordinator to join our Product Development team in Los Angeles. In this entry‑level role, you’ll be the go‑to person for managing all incoming product samples from suppliers, ensuring they are properly logged, reviewed, organized, and distributed to the right internal team members. You’ll also gain valuable hands‑on experience in the product development process while collaborating with a team that’s passionate about bringing trend‑forward, functional beauty products to life.

What

will be your responsibilities?
  • Receive, log, and organize all incoming samples from domestic and international suppliers.
  • Review all incoming samples, evaluating product performance when needed, summarizing insights, and then passing to respective PD team members for alignment and approval.
  • Multiple visits per day to the nearby mail shop to receive all inbound mail, and drop off outbound mail & packages.
  • Photograph, notify, and distribute samples to the appropriate team members across Product Development, Design, Sales, Marketing, Creative, and leadership.
  • Travel to the Kitsch warehouse on an as‑needed basis to pick up or drop off samples. If dropping off samples to the QC team, provide a summary of insights from the evaluation for their consideration. (Note, frequency to the warehouse will vary based on daily or weekly needs).
  • Maintain a well‑organized sample room and tracking system to ensure samples are easy to find and reference.
    • Manage all in‑development samples, organized by supplier and by project.
    • Manage all launched product samples in the sample room, ensuring all bins are continuously stocked.
  • Participate in sample review discussions on an ad‑hoc basis and share your own thoughtful feedback and product insights.
  • Organize, prep, pack & ship samples to necessary recipients on an ongoing basis, including cross‑functional team members as well as retail partners. Track all outbound shipments in the tracker document for accurate record keeping and communication with team members.
  • Ensure office & misc. supplies are continuously in stock, reordering when necessary while staying within budget.
  • Ensure garbage has been disposed of at the end of every day.
  • Ensure the dishwasher has been filled at the end of every day.
  • Ensure the office is organized and tidy on a daily basis. Determine if there are opportunities for improvement in office organization, recommend suggestions for approval, and execute improvements to completion.
  • Communicate professionally with internal stakeholders as needed regarding sample shipments or updates.
  • Maintain a strong understanding of Kitsch’s brand, products, and aesthetic, and bring a point of view to everything you touch.
  • Occasionally support miscellaneous project requests outside of sample & office management responsibilities.
  • Set up a conference room for Tik Tok content creation on an as‑needed basis.
What are we looking for in you?
  • Experience &

    Education:

    1–2 years in office coordination, showroom management, or logistics (experience in Apparel, Beauty, or Accessories is a plus). Degree or strong interest in Fashion Merchandising or Product Development.
  • Technical

    Skills:

    Proficiency in Excel/Google Sheets (tracking systems) and familiarity with shipping platforms (Ship Station, Fed Ex, DHL).
  • Product Knowledge: Support product testing as the "first line of review" by identifying materials, colors, and quality defects.
