What You’ll Be Doing
  • Coordinate and maintain all shoot schedules, ensuring timely communication of updates across the production team.
  • Lead all locations logistics, including FilmLA correspondence, permitting, location scouting, property communication, and day‑of coordination.
  • Oversee vendor and day‑player billing, working directly with vendors and Accounts Payable to ensure accurate tracking, timely payment, and organized documentation.
  • Support all production logistics for onsite and on‑location shoots, including call sheets, parking, load‑ins, and equipment needs.
  • Maintain production tracking systems, databases, spreadsheets, and documentation for all shoots from planning through delivery.
  • Facilitate interdepartmental communication between Production, Creative, Post, Talent, and other internal partners to support smooth workflows.
  • Track and organize all assets, metadata, paperwork, releases, and production documents to ensure accurate handoff to Post and internal stakeholders.
  • Uphold SAG guidelines and production protocols in coordination with the production team and signatory.
  • Troubleshoot day‑of issues, resolve cross‑team conflicts, and support producers and crew to maintain a safe, efficient, and professional environment.
  • Assist with pre‑production tasks such as gathering scripts/materials, securing props, and preparing locations as needed.
  • Contribute to a positive, collaborative team environment and help maintain strong relationships with full‑time and freelance crew.
Required Experience
  • 1–3 years of experience in production coordination or a related production support role.
  • Experience managing schedules, communicating with vendors, or coordinating logistics on studio or location shoots.
  • Familiarity with production documentation, including permits, releases, call sheets, and shoot trackers.
Preferred Experience
  • 2–4 years of production or post‑production experience in a fast‑paced, multi‑project environment.
  • Experience coordinating locations, FilmLA permitting, or working with property owners, site reps, or municipal agencies.
  • Prior experience handling vendor billing, managing invoices, or working with Accounts Payable.
Education
  • High School Diploma (Required).
  • Associate’s Degree in Film or Production (Preferred).
Qualifications
  • Exceptional organizational skills, with the ability to manage multiple schedules, locations, vendors, and documents simultaneously in a fast‑paced environment.
  • Strong communication and interpersonal skills, ensuring clear, timely updates across internal teams, crew, vendors, and location partners.
  • Problem‑solving and adaptability, with the ability to troubleshoot logistical or scheduling challenges quickly and maintain a calm, solution‑oriented approach.
  • Working knowledge of production logistics, including on‑set workflows, equipment needs, permitting processes, and location protocols.
  • Understanding of location coordination, including FilmLA procedures, permitting requirements, and best practices for working with property owners and site reps.
  • Familiarity with vendor and billing workflows, including communicating with vendors/day players, tracking invoices, and partnering with Accounts Payable.
  • Strong attention to detail, ensuring accurate tracking of assets, metadata, paperwork, SAG documents, and production records.
  • Collaborative mindset, with the ability to foster positive working relationships with multidisciplinary crew.
  • Time‑management skills, with the ability to prioritize tasks, anticipate needs, and support several shoots at various stages of planning simultaneously.
  • Knowledge of SAG guidelines and production compliance protocols, with the ability to help enforce standards on set.
