JOB SUMMARYThe Dental Department Manager drives the operation of the dental clinics, including the supervision and clinical oversight of dental coordinators, dental assistants, RDA, lead DA and hygienists. Establishes staff training requirements and facilitates completion of training. Manages patient concerns and the efficiency of dental clinic operations, including patient scheduling, staffing adequacy, supply ordering, and adherence to budget. Focuses on productivity and efficiency by maximizing the schedule and reducing no-show rates.
Works with the Dental Director to set goals, establish procedures, expedite workflow, ensure compliance with operating policies, and implement standardization in HCHC. Provides daily and periodic reports as required. Acts as a leader by building constructive relationships and supporting department leadership in developing, setting, and executing department goals and the strategic plan in line with the HCHC mission.
- Adheres to all Harbor Community Health Center (HCHC) policies and procedures.
- Observes time-keeping procedures, including attendance, clocking, overtime authorization, and visible nametag.
- Conducts self in a manner that represents HCHC’s core values.

- Communicates regularly with the immediate supervisor about departmental and HCHC concerns.

ESSENTIAL DUTIES & RESPONSIBILITIESTo perform the job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required:
- Build and execute plans to improve daily operations of the Dental Clinic, ensuring maximum productivity, operational excellence, and efficiency.
- Provide leadership and support to dental staff, including evaluations, coaching, and fostering a cohesive, productive team.
- Recruitment, interviewing, onboarding/offboarding for Dental Support staff.
- Coordinate interviews of support staff and Dentists for the Dental Director.
- Oversee and approve timesheets for Dental support staff (Lead DA/RDA, Dental Coordinators, Dental Assistants, RDAs) in ADP.
- Oversee and manage schedules, time-off requests, and coverage for Dental staff.
- Coordinate dental equipment maintenance and ensure sterility of reusable instruments and equipment per directives and protocols.
- Ensure compliance with regulatory requirements (OSHA, infection control, verification logs).
- Audit preparation including licensing, permitting, policies and procedures, workflow implementation, documentation, trainings.
- Maintain an effective operating environment for safe, efficient dental department operation and respond to patient and dentist needs.
- Maintain and oversee maintenance of dental equipment per manufacturer guidelines and ensure records are logged.
- Oversee procurement/maintenance of dental and office supplies with the Dental Director to ensure availability of required equipment and supplies.
- Ensure preparations for efficient dental clinic operations before the first patient arrives.
- Collaborate with the Dental Director, Quality Manager, and Director of Risk Management and Compliance to uphold high patient safety standards; participate in quality meetings and motivate staff to achieve clinical quality benchmarks.
- Create and implement dental policies and procedures.
- Maintain records/documents in accordance with policies, contractual obligations, and funding sources.
- Assign workloads, develop priorities, and establish work schedules to ensure timely completion of tasks.
- Document disciplinary actions and/or counseling sessions with input from the Dental Director and Human Resources.
- Monitor adherence to universal precautions per CDC, OSHA, DHS and Dental Clinic guidelines.
- Promote integration across departments (medical, dental, behavioral health, optometry, podiatry) via warm handoffs.
- Has intricate knowledge of Denti-Cal covered and non-covered services and guides front office and providers on Denti-Cal Guidelines and other programs (e.g., DHSP/RWP, MHLA, dental HMOs, or dental commercial insurances).
- Work with Clinic Administrators to ensure Medical Providers and Staff engage in SAME-DAY Oral SCREENINGS; promote Medical-Dental Integration and a Dental Home for patients.
