Primary Functions
- Facilitate accessto care. This includes scheduling of patients at all Nemours sites ofservice. Maximize template utilization. Manage the wait list and referral work queueto ensure it is at or belowestablishedmetrics.
- Manage divisionaltemplates to ensure ease of patient access, providereffectiveness and efficient clinical flow.
- Provide daily administrative supportto assigned members ofthe clinical team, including the Division Chief. Assistin the coordination and support of enterprise/departmental/divisional projects and initiative which further the clinical, educational and research missions ofthe Department of Pediatrics and its Divisions.
- 1.Provide daily oversight of divisional clinical schedules and EPICtemplates
- In collaboration with departmental/divisional leadership and divisional providers, develop, build, modifyand maintain EPIC templates for assigned provider sand specialty programs at all service sites.
- View and manage providerschedules. Complete steps within EPIC to setsingle day edits, unavailabletimes, holdtimes and cliniccancellations as required.
- Utilizing EPIC and Qlikreporting tools, assesstemplate effectiveness through the lens of patient access forall appointment types, provider productivity and care center efficiency.
Process template revisions as appropriate. - Promptly and courteously handle telephone calls to/from internal and external customers including patients, referring physicians, insurance companies, etc. Triage urgent/non-urgent calls appropriately. Ensure service excellence in allencounters.
- Provide administrative supportto divisionalleaders and clinical providers, to include, but notlimitedto:
- Daily, detailed management of administrative and clinical schedule of activities.
- Coordination of meetings with internal and externalparticipants
- Ensure alignment between Outlook and Epicschedules.
- Timely completion of hospital reappointment applications
- Maintain an accurate accounting of continuing medical education (CME) activity
- Update and maintain the curriculum vitae (CV) for providers onan ongoing basis.
- Participate in the development and distribution of monthly divisionalon-call schedules. Ensure internal and external partners have accurate on-call information. Enter into Web Exchange.
- Manage the biweeklyand monthly Kronos(timekeeping) and Paid Time off (PTO) process for assigned Department/Division personnel. Maintain time and leaverecords.
- Ona daily basis, open,categorize and distribute incoming correspondence, includingmail, faxes, scanned documents,etc.
- Complete associate reimbursement forms, payment requests forms, license renewals, etc. Maintain an accounting of identifiedexpenses. Prepare CMEtravel request forms; coordinate travel request formsasdirected.
- Physical onsite presence as required by Division.
- Proactively identify problems and opportunitiesrelated to divisionaloperations. Address orrefer problems and ideasappropriate.
Education
High School Diploma required. Associates or Bachelor's degree preferred but will consider equivalent years’ experience and enrollment in degreed program.
1-3 years of job-related experience required.
