This is a key customer-facing role, with the Operations Coordinator being r esponsible for ensuring Import / Export shipments a re managed and completed effectively, efficiently and compliantly from start to finish, delivering Best in Class service to our customers at all times.

Working hours: Sunday to Thrusday : 08:00 PM to 05:00 AM

• Work within the Export & Import Operations team to manage shipments from start to finish, consistently ensuring excellent customer service.
• Arrange shipments in accordance with customer instructions, agreed customer SOPs, required deadlines and customer KPIs, liaising with overseas offices and relevant B&H departments as required.
• Ensure all shipments are accurately recorded and managed within the Company system, maintaining clear and comprehensive comments, actions and shipment information so that the workflow and shipment history can be understood without the need to locate individual files.
• Monitor shipments throughout the process and ensure all tracking information is accurately and promptly updated on B&H systems.
• Investigate and implement the most cost-effective dispatch arrangements for each shipment in accordance with customer instructions.
• Liaise and negotiate with suppliers to ensure costs are confirmed at the time of booking.
• Manage all required documentation and online forms to ensure the efficient, cost-effective and lawful execution of import and export activities.
• Provide collection/delivery notes and/or written notification of all relevant collection and delivery instructions.
• Ensure Customs Entries are completed accurately and to a high standard in accordance with written customer instructions or the agreed customer SOP.
• Liaise with the Warehouse and Transport teams during their operating hours to ensure the reliable and timely distribution of import and export shipments, and coordinate shipment requirements independently outside those hours where necessary.
• Arrange direct drives, third-party collections and deliveries, and On Board Courier (OBC) shipments where required, including coordinating these arrangements independently during the night shift.
• Manage and coordinate warehouse inventory dispatches within specified deadlines, ensuring all required instructions, documentation and arrangements are completed during the night shift where warehouse support is unavailable.
• Ensure any customer service failures, billing issues, operational issues and/or errors are reported without delay to the Station Manager .

• Manage shipments, ensuring a proactive, efficient and compliant customer experience, including responding to and resolving queries and providing timely shipment updates.
