Job Overview
The Document Control Specialist at INEOS Oxide US is responsible for ensuring that all operations and quality documents are collected, audited, maintained, and controlled in accordance with INEOS Oxide and GMP standards. The incumbent acts as the gatekeeper for the process to receive, organize, store, and manage both electronic and hard‑copy files while ensuring receipt to appropriate locations and the electronic document management system.
SHEResponsibilities
- Maintain and control the safe and efficient operation of the production unit and safe execution of all job responsibilities using established operating disciplines and procedures.
- Ensure safety and environmental compliance is achieved and that the 20 Principles of Safety are upheld.
- Conduct routine AsCare tours and participate in quality or safety audits.
- Provide daily administrative support to associated levels of the organization.
- Perform daily Document Control and Reporting for Production, Operations, Logistics, Quality, and Dow Chemical Company documentation such as Production Round Sheets, Sample Round Sheets, GMP Batch Records, Loading Documentation, Product Rerun Documentation, and GMP Analytical records.
- Maintain records and document logs, verify accuracy, archive historical data, manage the controlled documents, track revisions and approvals, audit compliance, label, index files, and secure confidential information.
- Assemble GEA and PEG batch record reviews for GMP good documentation practices, develop and maintain indexes, manage lab records, and coordinate off‑site storage in compliance with retention requirements.
- Serve as Document Control subject matter expert, conduct documentation practice audits on quality batch records, and maintain the document control how‑to job manual.
- Ensure all records and documents are collected, maintained, distributed, and accessible to all personnel per INEOS Oxide standards.
- Place approved new/revised procedures online in the current controlled documentation management system.
- Remove obsolete documentation from distribution and manage a database of all filed documentation for fast retrieval.
- Track and coordinate off‑site data/file storage, scan, migrate, and store hard‑copy files to electronic files, assist personnel with document searches, and facilitate documentation quality services.
- Timely log all quality message non‑conformances into the relevant electronic database.
- Reconcile and track overtime and assist with scheduling quality procedure reviews.
- Lead scheduling of Lunch & Learns, special events, visitor site visits, and maintain monthly production & raw material reporting.
- Coordinate office management tasks including conference room management, external visitors, vacation calendars, purchase requisitions, printing and scanning, and maintain the document control how‑to manual.
- Track rental truck trailers onsite and provide other tasks and projects as assigned by management.
- High School diploma or equivalent required.
- Minimum of 2 years of administrative and/or clerical experience.
- Proficient computer skills with knowledge of MS Office (Outlook, Word, PowerPoint, Excel).
- Knowledge of SAP and SharePoint functionalities.
- Strong organizational skills with the ability to manage multiple tasks, priorities, and deadlines.
- Proficient user of Electronic Document Management System.
- Proficient use of scanner, copier, and printer equipment.
- Ability to work with minimal supervision.
- Familiarity with plant mechanical equipment helpful.
- Demonstrated ability to efficiently and accurately manage all aspects of a project life cycle, tracking, managing, and communicating project status.
- Strong communication skills, both oral and written.
- Team player with strong interpersonal skills.
- High level of accuracy and consistency in performing repetitive tasks.
- Demonstrated reliability in adhering to established procedures and ensuring compliance with document standards.
