Project Manager to Executive Vice President & CFO
The National WWII Museum is seeking a Project Manager to provide administrative and operational assistance to the Executive Vice President (EVP) and Chief Financial Officer (CFO). The role supports the successful organization, implementation, and management of objectives across Finance & Accounting, IT, A/V, Security, Retail, Insurance, and Legal functions, coordinating high‑level calendaring, project coordination, and report preparation.
Responsibilities- Provide comprehensive executive support, including scheduling, calendar management, correspondence, and preparation of agendas, presentations, and reports for executive meetings.
- Act as liaison between the EVP’s office and internal/external stakeholders, ensuring timely communication and follow‑up on action items.
- Coordinate special projects and initiatives, track progress, ensure deadlines are met, and collaborate with cross‑functional teams to gather data for executive decision making.
- Support the EVP in preparation for Cabinet, Board and Committee meetings, including documentation, reports, and handouts.
- Manage purchase orders, invoices, contracts, expense reports, and other materials for EVP approval.
- Provide administrative support to Corporate Counsel, manage legal document compliance, contract administration, and due‑diligence research.
- Assist with insurance liaison activities, retail purchase orders, and support EVP objectives across IT, Security, and A/V departments.
- Handle sensitive information with confidentiality and discretion, manage confidential documents, and exercise sound judgment.
- Build and maintain relationships with internal stakeholders and external partners, representing the EVP office with professionalism and integrity.
- Undertake special assignments or projects as requested by the EVP and CFO.
- Bachelor’s degree in Business Administration, Management or related field.
- Proven experience supporting C‑suite executives or senior management.
- Exceptional organizational and multitasking skills with ability to prioritize and meet deadlines in a fast‑paced environment.
- Excellent attention to detail and strong communication skills, both written and verbal.
- Proficiency in Office 365 and project‑management tools.
- Demonstrated discretion and integrity when handling confidential information.
- Strategic mindset with ability to analyze data and contribute to decision making.
