Job Summary

The Plumbing Coordinator will provide strong administrative and billing support to the Plumbing account team, and will efficiently communicate with and support the needs of our customers. The ideal candidate will be highly organized, punctual, dependable, and capable of working independently as needed.

Essential Duties and Responsibilities
  • Work with project managers and team members to provide quality and timely service, correspondence, and other necessary support to customers and corporate office.
  • Schedule technicians to meet the varying needs of clients.
  • Prepare contracts for implementation and invoicing, and ensure effective communication within the organization.
  • Produce and maintain letters, invoices, spreadsheets, reports and other administrative documentation.
  • Work independently and perform duties confidently, occasionally without supervision.
  • Follow up on outstanding invoices and ensure timely payments.
  • Conduct weekly reviews of productivity metrics and work‑in‑progress summaries.
  • Be available for possible after‑hours work; minimal local travel is required.
Minimum Qualifications
  • Strong written and verbal communication skills.
  • Ability to interact with all levels of the organization in a positive, engaging, proactive, and team‑based style.
  • Professional appearance required.
  • Experience in a mechanical contracting firm is a plus but not required.
  • Knowledge of AIA forms, certified payroll, prevailing wage, state and federal forms is a plus but not required.
  • Valid driver’s license.
Preferred

Education and/or Experience
  • Minimum of 3–5 years of recent administrative support experience.
  • Minimum of 2 years of accounting experience (preferred but not required).
Computer Skills
  • Excellent proficiency in Microsoft Office applications (Outlook, Word, Excel, etc.).
  • Willingness to learn other software applications as needed.
