OverviewThe Site Administrator provides administrative support to construction project teams. Key duties include processing certificates of insurance, preparing documentation for subcontracts and purchase orders, and accurately recording information in Procore and internal drives. The role serves as the primary point of contact for vendors, clients, employees, and the public, maintaining a professional image in all interactions. Success requires strong attention to detail, problem solving skills, and strict adherence to procedures.
Location& Travel
Travel will be required across the US (up to 100% of the time). The position starts in Texas and may rotate to sites in NC, VA, GA, TX, FL, IA, and WY. You will spend 6‑8 months per project, with a vehicle allowance, per diem, and relocation assistance as applicable. One weekend per month may be spent away from the job site.
Responsibilities- Distribute subcontracts, change orders, and purchase orders.
- Communicate in a timely manner with Project Managers on discrepancies or input needs.
- Assist Project Managers with submittals and ensure secure mailing and distribution via Procore.
- Maintain project files and perform file archival.
- Maintain inspection reports, logbooks, and permit files.
- Maintain detailed filing systems (specs, manuals, contract logs, drawing lists, etc.) within Procore.
- Support data entry and document management in Procore and other project spreadsheets.
- Manage bond and insurance application and tracking processes.
- Knowledge of A/E/C industry terms.
- Proficiency with internet applications and MS Office (Outlook, Excel, Word). Familiarity with Procore, Bluebeam, Adobe Pro.
- Excellent written and oral communication in English.
- Ability to manage multiple priorities with limited direction.
- Effective interaction with all organization levels in a fast‑paced environment.
- Self‑starter capable of working independently and in teams.
- Initiative in completing activities and reporting status of construction documents, permits, inspections, RFIs, and submittals.
- Strong follow‑up, organizational, analytical, and attention‑to‑detail skills.
- Typing/computer proficiency, operation of office equipment.
- Other duties as required.
- High school diploma or equivalent (associate or bachelor’s preferred).
- Three or more years of related experience.
- Compensation: $55,000‑$70,000+ per year (based on experience).
