AssistantCommunity Manager
The Assistant Community Manager oversees, under the supervision of the Community Manager, the everyday operations and financial functions of the housing community. In this role you will play a vital part in the delinquency and collection of rent to optimize the property’s cash flow and financial position. You’ll manage all phases of operations, including personnel, leasing, maintenance, financial, administration & risk management in the absence of the Community Manager, and supervise all aspects of the property and staff to ensure compliance with company policies, safety and fair housing guidelines, and liability concerns.
Essential Duties & Responsibilities- Financial Management
- Post payments and income received from all applicants, current residents, and non‑current residents accurately, timely, and efficiently.
- Process and reconcile daily account receivables.
- Monitor and follow up on bad debt, including preparation of late notices, resident and guarantor contact, and filing evictions.
- Help the property meet budgeted revenues, expenses, and Net Operating Income.
- Post all charges to resident and non‑current resident accounts; include bill back of utilities where applicable.
- Perform all end‑of‑the‑month closing procedures and reporting.
- Maintain accurate and organized records; audit resident files to ensure accurate records.
- Walk units and post all move‑out charges, statements, and security deposit refunds.
- Personnel Management
- Regular/daily onsite attendance is required.
- Screen, hire, train, coach, and develop onsite staff using consistent techniques & company directives.
- Ensure staff effectiveness through ongoing training, coaching, counseling, and guidance in compliance with Asset training benchmarks.
- Promote harmony and quality job performance of staff through support and effective leadership.
- Ensure staff compliance and consistency with Company policies and procedures.
- Strategic leasing management: ensure staff leasing techniques are effective in obtaining closure, met follow‑up procedures, signing/documentation of leases, and reporting systems are accurate and up to date.
- Implement marketing strategies & systems put in place by the annual marketing plan.
- Handle resident complaints, concerns, and requests to ensure resident satisfaction.
- Develop and implement resident retention programs (e.g., resident functions, special promotions, monthly newsletter).
- Effectively show, lease, and move‑in prospective residents.
- Administrative Management
- Manage excellent customer service and monitor service request turnaround and responsiveness of maintenance staff.
- Maintain property appearance and ensure repairs are noted and completed on a timely basis (regular inspections and tours).
- Assist with supervision of all business functions related to operations.
- Plan for and utilize property resources, equipment, and supplies economically (obtain bids/pricing from vendors, suppliers, contractors).
- High School Diploma or Equivalent;
Bachelor’s degree preferred or two years experience in the housing industry; or one to two years related experience and/or training; or equivalent combination of education and experience. - Ability to understand and perform all onsite software functions; basic computer skills required.
- Must have basic knowledge of Fair Housing Laws and OSHA requirements.
- Regularly required to remain in a stationary position, often standing or sitting for prolonged periods, communicate with others, repeat motions that may include wrists, hands, and/or fingers, assess accuracy, neatness, and thoroughness of work assigned.
