Administrator

We are recruiting for a motivated, well‑organised, enthusiastic and flexible Administrator to work alongside our Band 4 Senior Administrator, supporting the Community Integrated Discharge team. The team is based in the hospital in an open‑plan office and works closely with other organisations.

The successful applicant will access hospital and community IT systems to gather patient information and ensure robust and correct activity reporting. Both written and verbal communication skills are required as telephone answering will be an important part of this role. Applicants must have a good working knowledge and experience of MS Office packages such as Word and Excel.

Attention to detail and accuracy is essential, as is a flexible approach to work – the ability to work on your own initiative as well as part of a team in a busy environment.

Main duties of the job
  • Communicate promptly and effectively with service users, staff and other stakeholders using telephone, email, letters, face‑to‑face contact and Systm One.
  • Support and understand the delivery of remote monitoring pathways.
  • Receive complex or sensitive information.
  • Understand the services delivered and staff roles within the service.
  • Provide high‑quality, accurate, timely administrative support to the team.
  • Respond effectively to queries in line with service and Trust guidelines and SOPs, analyse information, resolve problems or escalated where required.
  • Ensure patient contact is documented timely and accurately in the record as per Trust guidance.
  • Arrange meetings and conferences, coordinating all relevant requirements.
  • Plan education sessions & meetings, source venues, allocate staff.
  • Use relevant systems to order resources and raise purchase orders.
  • Support management of electronic diaries for Nursing Teams rotas.
  • Develop and maintain proficiency with relevant IT systems including Systm One, MS Office, Oracle and NHS Supply Chain.
  • Support new processes/systems as and when required (e.g. E‑Rostering).
  • Maintain the storage and retrieval of information from manual and computerised database systems.
Job responsibilities
  • Design flyers/promotional posters and advertisements for publications and displays.
  • Assist with the production of agendas and papers for meetings.
  • Participate in meetings, taking accurate and concise minutes.
  • Manage own workload where possible, guided by SOPs, policies and procedures.
  • Contribute to service development.
Communication
  • Conduct telephone calls and messages in a timely, courteous and professional manner, ensuring appropriate actions are taken as required.
  • Ensure all contacts with patients are documented in the records in line with the record‑keeping policy.
  • Prioritise workload and liaise with clinicians to resolve conflicting appointments as per service pathways.
  • Collate and input service feedback from patients (Friends and Family Test – FFT).

  • Support effective management in areas including e‑expenses, mandatory training, annual leave and staff rotas; maintain own professional development and engage actively in the Trust’s annual appraisal.
