Description
Within the School of Academic Foundations, the Program Specialist 3 works under general direction and reports to the Director of Basic Skills Student Services. This position assists higher-level staff by coordinating all aspects of Basic Skills Student Services, providing technical assistance and specialized consultation to program participants, staff and outside entities, and recommending resolution for complex problems and issues related to the program.
The role also performs essential tracking, monitoring, and data collection for BeDA students, prepares documents, coordinates and schedules program activities, and provides detailed information to students, staff and the public regarding the BeDA program.
Responsibilities (including but not limited to)
- Monitors and tracks student eligibility, participation and completion of program activities.
- Processes new student applications and verifies that all enrollment paperwork has been completed.
- Processes student registration requests and sends registration confirmations.
- Evaluates high‑school transcripts to determine program eligibility and standing.
- Approves students for the award of their high school diploma, confirming that all requirements have been met.
- Creates, maintains and manages student files, including academic progression and demographic information.
- Maintains accurate case notes, documenting student interactions and administrative activities.
- Tracks student credit completions and records them accurately and promptly, following detailed requirements that vary annually based on graduation year.
- Uses the Student Management System (SMS) to run reports, access student schedules, testing, and transcript information to update student folders and track student progress.
- Organizes and executes the quarterly grades and academic standing process by maintaining reports and pulling student files.
- Provides direct support and training to students within the program, including training on program requirements, college and financial aid applications, and guidance for completing the program.
