Position SummaryThe Compliance & Administrative Support role provides essential operational support for Dreamzilla’s multistate nonprofit operations. This halftime position (approximately 15-20 hours per week) focuses on organizational compliance, HR administration, payroll assistance, personnel documentation, and general administrative support. The role works closely with the Executive Director (ED) to ensure accurate records, smooth internal operations, and compliance with state and nonprofit requirements.
Key Responsibilities Organizational & Multistate Compliance- Track labor law updates in states where DZ employs staff (currently CO, CA, MI; may expand).
- Maintain and update employer accounts (SUTA, withholding, Secretary of State as applicable).
- Assist with state-required employer notices, pay transparency requirements, and documentation needs.
- Support compliance for state retirement mandates (Cal Savers, CO Secure Savings) and SIMPLE IRA eligibility notices.
- Maintain calendars for compliance-related deadlines and renewal cycles.
- Maintain organized digital personnel files, employment agreements, and compliance documents.
- Assist with onboarding and offboarding steps, including required notices, forms, and payroll setup.
- Support periodic updates to the employee handbook, internal procedures, and policy documents.
- Assist with workers’ compensation, liability insurance renewals, incident reports, and COI tracking.
- Provide general administrative support for staff and programs as hours allow (forms, scheduling, documentation, etc.).
- Assist with biweekly payroll processing in Quick Books Online, ensuring correct worksite location and tax setup.
- Help maintain clean digital financial records and documentation.
- Support basic bookkeeping tasks such as uploading receipts, tagging transactions, or reconciliations as assigned.
- Assist with year-end tasks such as 1099/W-2 document checks, file organization, and coordination with external accountants.
- Support HRA/ICHRA/QSEHRA documentation and reimbursement tracking.
- Assist staff with basic benefit-related questions and paperwork (medical, dental, vision).
- Ensure benefit notices, forms, and confirmations are correctly distributed and stored.
- Assist the ED in preparing materials for quarterly board meetings (compliance summaries, personnel updates, file packets).
- Provide documentation or simple data needed for funder reports or proposals (no budgeting responsibilities).
- Experience in administrative, HR, operations, or compliance support roles (nonprofit experience preferred but not required).
- Comfort with multi-state processes or willingness to learn state-specific employer requirements.
- Strong organizational skills and accuracy in documentation.
- Ability to maintain confidentiality and handle sensitive personnel and organizational information.
- Familiarity with digital tools such as Google Workspace, Quick Books Online, payroll portals, or HR platforms.
- Able to work independently, manage multiple tasks, and communicate proactively in a remote/hybrid environment.
