This is a FULL TIME position only.
The Nursing Department Scheduler supports nursing operations by coordinating and maintaining nursing schedules, assisting with staffing coordination, supporting resident transportation scheduling, and managing designated ordering functions for the nursing department.
This job description is intended to formalize and clarify existing duties associated with the Scheduler role and does not represent a guarantee of hours, shifts, or specific assignments. Duties may vary based on operational needs. The Scheduler functions in a non-supervisory capacity and does not exercise managerial authority over nursing staff.
This role requires current clinical credentials (CNA or Nurse) and may include administrative and clinical support responsibilities consistent with the employee’s licensure and experience.
Essential Duties And Responsibilities Scheduling & Staffing Coordination- Prepare, maintain, and update nursing department schedules to support resident care needs.
- Enter and maintain schedules in Smart Linx accurately and timely.
- Track call-ins, open shifts, and coverage needs.
- Assist with staffing coordination in collaboration with nursing leadership.
- Communicate schedule information and changes to appropriate parties.
- Perform scheduling functions in accordance with facility policy and applicable labor requirements.
- Maintain current CNA or Nursing licensure in good standing.
- Accompany residents to medical appointments or off‑site services when needed.
- Provide direct care support on the nursing floor when operationally necessary, such as during:
- Staffing shortages
- Call‑ins
- Weather‑related events
- Emergencies
- Perform clinical duties within scope of licensure, training, and facility policy.
- Clinical support duties are assigned based on facility need and do not replace primary scheduling responsibilities.
- Assist with scheduling and coordinating resident transportation for medical appointments and approved outings.
- Communicate transportation information with nursing staff and others as appropriate.
- Maintain scheduling documentation related to transportation coordination.
- Manage ordering of designated nursing department supplies as assigned.
- Communicate supply needs to nursing leadership.
- Serve as a point of contact for scheduling-related questions.
- Communicate professionally with staff, residents, families, and leadership.
- Maintain confidentiality of resident and employee information at all times.
- Current CNA or Nursing license in good standing.
- High school diploma or equivalent.
- Experience in healthcare scheduling, staffing coordination, or nursing operations.
- Ability to perform both administrative and clinical duties as assigned.
- Ability to participate in an on‑call rotation.
- Familiarity with electronic scheduling systems;
Smart Linx experience preferred. - Long‑term care or skilled nursing experience.
- Experience balancing administrative duties with resident care support.
- Combination of office‑based and clinical work.
- Ability to stand, walk, lift, and assist residents consistent with licensure and training.
- Ability to be reachable by phone and report to work during assigned on‑call periods.
