JOB OVERVIEWThe organisation has a fantastic new job opportunity for an Administrator / Receptionist who has previous reception or administrative experience, good customer care skills and confidence using Microsoft Office.
Working as the Administrator / Receptionist you will provide flexible support to the team, helping patients, visitors, colleagues and service users receive a professional, helpful and efficient service.
As the Administrator / Receptionist you will be involved in reception duties, appointment bookings, telephone enquiries, patient records, clerical administration, mailbox checks and general team support. The role will also include routine use of Meditech and other internal systems.
DUTIES- Reception and Visitor Support:
Welcome and book in patients and visitors attending the centre - Appointment Booking:
Book patient appointments for all departments face to face and by telephone - Telephone Enquiries:
Answer and make telephone calls in a professional and helpful manner - Patient Records:
Deal with patient data, notes and records, ensuring details are kept up to date - Administration Support:
Undertake a range of clerical and administration processes to support the service and colleagues - System Updates:
Ensure paperwork is recorded and processed through internal systems in line with procedures - Mailbox Management:
Check and action mailboxes on a daily basis - Post and Goods:
Post out goods and receive incoming post - Meeting Support:
Assist with organising meetings and events, including taking minutes where required - Team Assistance:
Support the Business Support Lead and provide flexible assistance to the wider team
- Previous reception or administrative experience
- Good knowledge of customer care principles and practices
- Good computer skills, including Microsoft Word, Excel, PowerPoint and other MS Office products
- Good communication skills, with a professional approach to colleagues, service users and families
- Ability to use IT systems confidently for daily administration tasks
- Good organisational skills with the ability to manage records, paperwork and routine office processes
- Experience with minute taking is desirable
