Transport Administrator (Nights) – Full Time – Maidstone
Rapier Employment is seeking an organized and reliable Transport Administrator to support our busy transport team at the Allington site. This full‑time, night‑based role (4 on, 4 off, 18:00‑06:00) requires prior transport administration experience and strong communication skills.
Key Responsibilities- Conduct driver pre‑briefs at the start of each shift
- Contact stores ahead of scheduled deliveries
- Issue drivers with all required paperwork and equipment
- Complete agency documentation and carry out licence checks
- Monitor driver progress using Microlise and elevate issues when necessary
- Allocate and amend driver workloads throughout the shift
- Maintain transport management systems accurate and up to date
- Ensure compliance with driver hours, vehicle defects, and fleet legal requirements
- Liaise with warehouse teams and shunters to ensure on‑time departures
- Co‑ordinate vehicle and trailer availability
- Carry out driver debriefs and complete related administration
- Produce KPI reports and update spreadsheets
- Communicate effectively with First Line Managers (FLMs) and Shift Managers
- Follow all company Health & Safety procedures
- Build positive working relationships with drivers and site teams
- Adjust to changing operational demands within a busy transport environment
- Experience in Transport Administration, Transport Planning, or a similar logistics role
- Confident using Microsoft Office (Excel and Word)
- Comfortable learning and using transport management systems such as Microlise
- Organized, accurate, and able to prioritise workload effectively
- Strong communicator with excellent written and verbal skills
- Customer‑focused with a professional telephone manner
- Ability to work independently as well as part of a team
- Reliable, punctual, and committed to delivering high standards
- Calm under pressure and able to thrive in a fast‑paced transport environment
- Flexible and adaptable to changing priorities
- Hourly rate: £14.83, rising to £18.54 for overtime after 42.12 hours per week
