Job SummaryThe main task of our AR clerk is to provide excellent phone relations, maintain accurate receivables records and assist in administrative duties. Associates need to be willing to continually learn and expand their knowledge of accounting and administration pertaining to the retail industry. Associates job will include, but is not limited to, the following responsibilities.
Responsibilities- Provide excellent customer service by answering our phones professionally, consistently and with a positive attitude. As the first voice and impression for our company we insist on clear and warm greeting followed by helpful, yet brief follow up communications.
- Accurately point incoming calls to appropriate departments or sales staff. Monitor to be sure calls are picked up in a timely manner. Take messages or direct to voicemail if necessary.
- Understand and maintain accounts receivable files in our data system. Be sure to only give out financial information to account holders and make sure this information is precise and accurate. Includes monthly statement runs
- Count cash daily (either in or out depending on schedule) and calculate daily deposit. Report numbers to management. Accuracy here is imperative. If discrepancies are found – investigate to solve.
- Have a working knowledge of all store policies and procedures, including returns, refunds, account payments and deliveries. Aid management in keeping policy books up to date.
- Maintain and upkeep all customer and supplier phone lists and email databases.
- Upkeep on paperless document system by scanning in pertinent documents.
- Provide customer service for our UPS ship station.
- Aid in marketing and coop opportunities and duties.
- Maintain supply room, supply closet and back office space. This includes restocking of supplies.
- Be cross trained in Point-of-Sale in order to back up sales staff when necessary.
- Help other team members and department with other tasks as needed.
- Be on time and reliable in attendance.
May be asked to help with special projects around the store.
Qualifications- Excellent customer service skills and a professional attitude.
- Detail oriented with excellent follow through.
- Organized and motivated individual who thinks independently and solves problems.
- Knowledge of basic computer skills. MS Word and Excel a must.
- Strong math, reading and writing skills.
