Position Summary

The Course Coordinator is responsible for coordinating all aspects of course scheduling within the School of Public Health. This position plays a critical role in ensuring that academic programs run smoothly by overseeing course planning, scheduling, and logistics in collaboration with faculty, staff, and administrators. The Course Coordinator will serve as the primary point of contact for course scheduling and will maintain a high level of accuracy, organization, and communication to support the academic mission of the School.

Job Description Primary

Duties & Responsibilities Course Scheduling & Planning
  • Develops, manages, and publishes course schedules each academic term in collaboration with faculty, program directors, and the Office of the University Registrar.
  • Ensures course offerings align with program requirements, student demand, and accreditation standards.
  • Manages teaching confirmations and related communication with instructors and teaching assistants.
  • Facilitates hiring and onboarding of adjunct instructors and teaching assistants.
  • Coordinates and manages classroom assignments and reservations in accordance with School and University deadlines and policies.
Data & Systems Management
  • Serves as the Learning Management System (Canvas) administrator for the School.
  • Enters and maintains accurate course scheduling information in the university’s student information system.
  • Monitors enrollment data to support decision‑making on course capacities and waitlists.
  • Generates reports and provides analyses on course scheduling trends, enrollment patterns, and resource utilization.
Student Service and Process Improvement
  • Coordinates with academic program leadership and advising staff to ensure students have access to required and elective courses in a timely manner.
  • Responds to student scheduling questions and facilitates resolution of course conflicts.
  • Coordinates processes and procedures related to enrollment, including, but not limited to, add/drop, and withdrawal.
  • Continuously evaluates and improves scheduling processes to maximize efficiency and effectiveness.
  • Stays current with best practices and technologies in course scheduling and academic operations.
  • Maintains an accurate process and procedures document for the functions within the scope of this role.
Academic Records
  • Assists Director of Academic Records by working closely with academic programs on accurate maintenance of all aspects of student academic records, including, but not limited to, processing leaves of absence, reinstatements, elective approval requests, etc.

Performs other duties as assigned.
