The Administrative Coordinator provides support on a broad range of tasks to the Payroll and Cashiers Departments. The Administrative Coordinator maintains general office management functions including greeting, directing and assisting customers, maintaining files, scanning all payroll documents, sorting mail, assisting with auditing and entry of payroll data. Maintains employee confidence and protects operations by keeping information confidential. Acts as the primary backup cashier.

This position provides excellent customer service and communicates professionally on behalf of all departments supervised by the Associate Director of Malibu Operations, and interacts with staff, faculty, students and external constituents.

Duties
  • Interact with all levels of the university organization, solving problems and answering questions related to payroll and cashiering, including answering phone and email inquiries, and greeting, assisting, and directing customers in the office.
  • Manage scanning and validation process for electronic storage of all payroll documents.
  • Provide back-up support for Cashier's Office.
  • Coordinate and code all payroll forms and requests for processing, including timesheets, payment requests, taxable income, deduction forms.
  • Input data for employee direct deposit and W4 tax forms into People Soft.
  • Assist with auditing of various payroll data entry.
  • Route all mail and manage file system.
  • Process wage verifications.
  • Perform other duties as assigned.
  • Uphold University mission through work performed.

Skills and Qualifications Required
  • High School diploma
  • Two years of general office experience
  • Excellent customer service skills
  • Strong communication and organizational skills
  • The ability to maintain strict confidentiality
  • The ability to interact effectively with administrators, faculty, staff, and students.
  • The ability to work independently and take initiative.
  • Skill in prioritizing assignments and meeting deadlines in an environment with fluctuating demands.
Preferred
  • Two years of college
  • Experience in payroll, cash-handling, and PC skills with knowledge of standard office software, including Microsoft Word processing and spreadsheet programs.
  • Knowledge of automated payroll processing

This is a Regular, Nonexempt, 40 hour per week position.

Expected Pay Range: $22.11 - $24.51 per hour

The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level. In addition to base pay, Pepperdine offers a robust and highly competitive benefits package.
