Administrative Assistant, Business Administration Division

The Administrative Assistant for the Business Administration Division provides general office support to the divisional dean, faculty, staff, and students while supervising and coordinating the duties of student workers. The person in this role also assists with events, social media, student registration and academic advising within the division majors. This is an 11‑month position.

Duties
  • Assist the divisional dean with general office management, including coordinating division meetings, seminars, conferences, and receptions that advance divisional goals.
  • Assist the office manager with ongoing initiatives and projects related to academic matters; work to create a hospitable, friendly and service‑focused environment in the division office.
  • Plan and implement routine and special events, including NSO, Faith & Business Chapel, Service Leadership Orientation, Alumni Back to School Day, graduation receptions, division parties, and other events as needed.
  • Organize the hiring process for student workers, training and development, scheduling, and management of their daily workload alongside the office manager throughout the semester.
  • Maintain the division’s website, digital media, and all social media; create flyers and promotional materials for larger‑scale events; assist with the major application process and academic advising as needed.
  • Prepare semester‑specific documents prior to each semester, including office supplies, matrices, schedules, room changes, mailbox assignments, door schedules, door access, division directory, and online directory.
  • Take meeting minutes at monthly division meetings and other events; collaborate with other campus departments to ensure upkeep of division spaces and submit maintenance requests to facilities; maintain the distribution list for Seaver Business majors and email all majors and pre‑majors; organize classroom visits for prospective students; serve on the emergency response team and update the ERT binder as needed.
  • Perform other duties as assigned.

Required

Skills and Qualifications
  • At least two years of college or equivalent work experience.
  • Strong oral and written communication skills.
  • Excellent organizational and time‑management skills.
  • Good interpersonal skills and phone and email etiquette.
  • Social media knowledge and general office computer skills.
  • Proficiency with IBM PC and working knowledge of Microsoft Office and Google Suite.
Preferred Qualifications
  • Bachelor’s degree.
  • Familiarity with a University OSIS (Student Information System).
Employment Details
  • Regular, Non‑exempt, 11‑month per year, 40 hour per week.
  • Expected Pay Range: $22.50 – $25.00 per hour.
