Responsibilities
- Support in the day‑to‑day conduct of Training Programs and provide assistance as required.
- Coordinate all functions related to Training Delivery, including receiving and registering customer examination requests and following up with customers.
- Consult with the Planning Department regarding availability of classrooms.
- Assist in preparation of examination papers, ensuring these are signed by the instructors.
- Brief students on the examination process, rules and regulations before beginning the exam.
- Check examination results, produce certificates and completion documents, and send them to customers.
- Draft and issue Notices to Instructors.
- Produce administration guides for instructors to ensure they receive all relevant material, training files and materials prior to course commencement.
- Administer GAA LMS, E‑Learning and EVIONICA portals, which includes uploading training programs, handling trainee registration, and creating and maintaining trainee records.
- Support the delivery of induction sessions for trainees on their first day and assist in completing required documents.
- Liaise with instructors, partners and stakeholders to ensure curriculum coordination, high quality training content, and successful delivery of the training program.
- Coordinate with the Line Manager to prepare documentation that complies with regulatory bodies (IATA, MOL, etc.) and obtain required approvals.
- Facilitate training sessions and ensure all regulatory matters meet the requirements of Regulatory Authorities.
- Issue and maintain training records and certificates, ensuring all documentation is accurately processed and securely stored.
- Maintain an organized system for updating and retrieving records to facilitate easy access for audits and reporting.
- Support the scheduling and preparation of training programs and classes.
- Provide general administrative support to other departments.
- Assist in drafting correspondence, emails and reports.
- Take minutes of meetings and distribute minutes in a timely manner.
- Perform miscellaneous duties as assigned.
- Assist in the application and renewal of instructor licenses.
- Maintain appropriate documentation and records of all programs and trainees.
- Ensure timely maintenance of the training database.
- Assist in preparing monthly reports as required by management.
- Act as the point of contact for any customer enquiries related to Pilot, Cabin Crew, Engineering, Ground and ATC training, directing enquiries to relevant managers.
- Receive and respond to customer enquiries via email, telephone and face‑to‑face meetings.
- Ensure all GAA Programs are conducted timely and effectively.
- Maintain high levels of customer service activities to sustain maximum customer satisfaction.
- Work closely with other Units to maintain customer satisfaction.
- Manage and follow up with students regarding performance, achievements, complaints, payments and progress.
- Collect information on customer needs and feedback and share it with relevant parties.
- Assist in implementation plans and support improvement initiatives in coordination with other Units.
Bachelor's degree in Business Administration or a relevant field is required. 0–1 years of experience in the Aviation industry or a related field.
