Specialist - Lease Contract Management

Edamah is seeking a Specialist
- Lease Contract Management to join our Property Management team. This position offers a unique opportunity to work in the dynamic field of commercial real estate, managing leases and contracts that are pivotal to our operations and growth.

As a Specialist
- Lease Contract Management at Edamah, you will be responsible for the effective administration, management, compliance, and lifecycle control of the company’s real estate lease portfolio. The Specialist
- Lease Contract Management will maintain accurate contractual data, monitor critical lease dates and obligations, coordinate lease documentation, support renewals and amendments, and provide reliable portfolio reporting to management. The position will work closely with Leasing, Property Management, Finance, Legal, Facilities Management, Asset Management, and tenants to ensure that lease contracts are commercially and operationally well managed.

• Manage the complete lifecycle of lease contracts from preparation and execution through renewal, amendment, expiry, and termination.
• Maintain a central and accurate electronic lease register and contractual information within Yardi.
• Verify lease terms against approved commercial agreements before contracts are activated in the system.

• Implement the onboarding of Yardi (as per approvals)
• Act as the key business user for lease contract administration within Yardi.
• Train relevant Leasing and Property Management staff on lease and CRM procedures within Yardi.

• Monitor all critical dates and ensure adequate advance notification to relevant stakeholders.
• Coordinate renewal processes with Leasing, Asset Management, Property Management, Finance, and Legal.
• Escalate leases approaching expiry where commercial decisions have not been made.

• Monitor contractual compliance by both landlord and tenant.
• Maintain a lease obligation register.
• Identify potential contractual breaches and coordinate appropriate action with Property Management and Legal.

• Validate rental schedules and other contractual charges before activation.
• Monitor contractual rent increases, indexation, turnover rent, and other income provisions.
• Provide accurate lease information for budgeting, forecasting, valuation, and asset management activities.

• Maintain accurate tenant contact information and organisational records in Yardi CRM.
• Establish a consistent record of significant tenant communications and commercial interactions.
• Coordinate with Leasing and Property Management to ensure tenant requests and contractual matters are properly recorded and followed through.

• Prepare regular and ad-hoc reports including, but not limited to, lease expiry schedule, occupancy and tenancy reports, lease compliance report, and security deposit and bank guarantee register.

5-7 years of experience in lease management or commercial real estate.

Bachelor's degree in Real Estate, Business Administration, or related field.
