Service and Rental Coordinator
Stephenson Equipment, Inc. (SEI) is an industry leader in Pennsylvania, New York, Maryland, D.C., and Virginia, providing sales, rentals, parts, and service for construction equipment, cranes, paving, and road maintenance equipment. SEI has an immediate need for a Service and Rental Coordinator in its Manassas, VA branch.
Duties- Handle incoming phone calls and emails pertaining to the service side of the branch.
- Proactively communicate with customers via phone and email to provide updates on their units.
- Follow process guidelines for communicating with customers.
- Follow in‑house processes for the workflow and documentation.
- Learn and work in vendor portals to understand their systems and how to navigate and use them.
- Open, maintain, and invoice service work orders—shop or field.
- Invoice customers upon completion of their unit.
- Process and manage all warranty work orders using OEM‑specific portals.
- Help schedule road‑service calls that cycle through the branch.
- Work alongside the shop lead to schedule the work through the shop.
- Assist on the rental side of the business with customers who need rentals.
- Work alongside the Branch Manager and Shop Lead to strategize ways to improve customer fleet uptime.
- Maintain spreadsheets for customer units as they move through the service process.
- Provide a high level of customer satisfaction and demonstrate service‑minded abilities to put customers and their fleet first.
- Maintain WIP status units, and relay information to the branch manager for anything open over 15 days.
- Maintain work orders in the system and continue to check into work orders that are in process with correct status updates and information.

- High School Diploma or GED; degree or certificate from college or technical school in a related field; and 5 years of relevant experience or training; or an equivalent combination of education and experience.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals; ability to write routine reports and correspondence.
- Ability to speak effectively before groups of customers or employees of an organization; arithmetic skills (add, subtract, multiply, divide) in all units of measure, using whole numbers, common fractions, and decimals; ability to compute rate, ratio, and percentage.
- Ability to apply common sense to carry out instructions furnished in written, oral, or diagram form; ability to deal with problems involving several concrete variables in standardized situations.
- Comfortable working in an office environment with moderate noise; computers, printers, and customer traffic; occasional outside work in all weather conditions. Work requires a combination of sitting, using hands to finger, handle, or feel, as well as standing and walking; frequent lifting, up to 50 lbs.
