Secretary II - Surgical Services – Hartford Health Care

Location: MMH-71 Haynes Street (10627)

Overview

Responsible for central phone reception and providing courteous and effective communication in the Operating Room. Performs administrative duties such as word processing, filing, record‑keeping, surgical scheduling, and message handling for surgeons and staff. Maintains radiation badge lists, enters staffing schedules into API, and supports perioperative services to achieve high quality and cost‑effective operations. Interfaces with patients, families, professionals, and other hospital departments.

Responsibilities
  • Answer and direct all inquiries for the Operating Room with professionalism and efficiency.
  • Perform word processing and spreadsheet functions to support daily OR activities.
  • Maintain radiation badge lists and related processes.
  • Enter and update staffing schedules in API daily.
  • Process supplies, work orders, and charges to maintain unit operations.
  • Coordinate patient transfers to the OR from ASC and inpatient units.
  • Communicate progress of each OR to the Team Leader and Anesthesiologist in charge.
  • Provide accurate and appropriate information to patients, families, visitors, and healthcare team members.
  • Complete and maintain tissue logs and verify documentation.
  • Perform additional duties as assigned to promote efficient functioning of the unit.
Competencies
  • Excellent verbal and written English communication skills.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Exceptional interpersonal, organizational, and time‑management skills.
  • Ability to work independently and multitask in a fast‑pacing environment.
  • Problem‑solving and critical thinking to support operational goals.
  • Ability to learn required clinical software systems within 6 months of appointment.
Qualifications
  • Education: High School Diploma or GED equivalent with knowledge of medical terminology.
  • Experience: Experience working in a medical facility and using medical terminology.
