Role Overview

As an Administrative Assistant, you will be the backbone of our department’s daily operations. Your role is vital in ensuring smooth communication, timely project coordination, and comprehensive support across multiple departments. Responsibilities
  • Uphold integrity and confidentiality, ensuring student data is accurate and secure.
  • Conduct research, prepare reports, and manage information requests.
  • Handle a variety of clerical tasks such as mail distribution, correspondence, visitor reception, conference calls, meetings, and travel arrangements.
  • Manage submission and tracking of contract deliverables and communications with the Corporate Office and external organizations.
  • Maintain and organize essential Job Corps/Company systems and documentation libraries.
  • Keep work areas organized, clean, and conducive to success for students and staff.
  • Prepare and distribute the weekly newsletter, gather content from staff, and take meeting minutes.
  • Deliver thorough, accurate work on time while maintaining high personal standards for attendance and productivity.
  • Plan and prioritize tasks to meet deadlines and departmental goals.
  • Continuously develop job‑related skills to enhance performance.
  • Mentor and model the Career Success Standards; respectfully support and hold students accountable.
  • Collaborate across departments to ensure effective supervision and service delivery for students.
  • Communicate clearly both orally and in writing to contribute effectively to team efforts and external reporting.
  • Identify problems, analyze causes, propose solutions, and ensure timely resolution.
  • Perform additional duties as assigned by leadership, demonstrating flexibility and teamwork.

Qualifications
  • High School diploma or equivalent is required; degree or certification from an accredited program preferred.
  • At least three years of secretarial or administrative support experience.
  • Proficiency with Microsoft Office Suite and general computer literacy.
  • Strong attention to detail and commitment to quality communication.
  • Ability to manage multiple priorities and work collaboratively with diverse teams.
  • Professional, respectful approach and excellent problem‑solving skills.
