The Pricing Administrator is responsible for managing and maintaining accurate product pricing across the organization. This role supports Sales, Product Management, Finance, and Customer Service by ensuring pricing data is current, reliable, and aligned with company policies and profitability goals. The Pricing Specialist handles pricing updates, special customer programs, rebates, billbacks, quoting support, and vendor price changes while maintaining strong data integrity within ERP and pricing systems.
Duties & Responsibilities- Manage and maintain HVAC product pricing, including base pricing, discount structures, promotional updates, vendor price changes, and customer‑specific pricing agreements.
- Track and update special customer pricing, assign new contract pricing, and maintain accurate customer pricing files.
- Apply special pricing programs to customer orders and ensure pricing accuracy across internal systems.
- Process and track rebates, billbacks, and other pricing adjustments with a high degree of accuracy.
- Enter and receive purchase orders related to billbacks, rebates, or pricing discrepancies.
- Maintain monthly summaries of vendor price increases and distribute updated pricing documentation to Sales and corporate teams.
- Communicate vendor and internal price increases to Sales and corporate departments in a timely manner.
- Process pricing change requests and ensure all updates follow established approval workflows.
- Set up new products in pricing systems, including cost inputs, margin targets, and product categorization.
- Update vendor pricing for both stock and non‑stock products and maintain current pricing files following cost or vendor changes.
- Generate accurate quotes for Sales, distributors, contractors, national accounts, and vendor special job/project requests.
- Verify pricing accuracy, lead times, freight terms, and program eligibility before releasing quotes.
- Support bid packages, RFP responses, and large‑project pricing opportunities.
- Track quote win/loss outcomes to support margin analysis and competitive intelligence.
- Troubleshoot and resolve pricing issues identified by Sales, Customer Service, and Distribution partners.
- Audit customer accounts to identify and correct outdated pricing, duplicates, and inconsistencies.
- Partner with Product Management on pricing for new product introductions and product lifecycle changes.
- Collaborate with Finance on margin improvement, cost updates, and profitability analysis.
- Identify pricing errors, market trends, and opportunities to improve margins and profitability.
- Support annual and mid‑year pricing updates and assist with internal pricing communications.
- Utilize the company ERP system extensively to perform daily pricing, reporting, and administrative tasks.
