VTA Recruitment are seeking a highly organised and detail-oriented Administrative & Support Coordinator to provide comprehensive support across multiple departments, including Estimating, Construction, and Responsive Repairs. The ideal candidate will demonstrate excellent communication skills, strong multitasking abilities, and a proactive approach to ensuring the smooth running of day-to-day operations.
Please note this role is from 5th December until 26th January. While this is initially a temporary position, there is potential for it to become permanent if the candidate excels and everything works out well.

8am - 16:30pm
Days:
Monday - Friday
Pay: £12.50ph
Key Responsibilities Tele & General Administration- Answer and screen incoming calls, directing queries to relevant staff.
Support general administrative duties across departments
Responsive Repairs Support- Monitor the Salford outstanding repairs list.
- Assist with logging new jobs and updating the CM system.
- Oversee shared departmental mailboxes
- Monitor tender portals (The Chest, MyTenders, Salford & Manchester University In-tend).
- Update tender logs and workload spreadsheets.
- Download / upload tender documents and ensure deadlines are met.
- Allocate contract numbers and communicate updates.
- Assist with preparation of H&S Plans, site files, and O&M manuals.
- Liaise with teams to resolve project-related issues
- Book training courses and manage renewals via Notion.
- Maintain CITB training records and process grant applications.
- File and update training certificates.
- Monitor and order stationery and office provisions.
- Coordinate copier / printer maintenance through Copy Print.
- Maintain accurate records in the Notion database, including contracts, training, and subcontractor insurance documents.
- Follow up on any outstanding issues relating to submitted documentation.
- Strong organisational and multitasking abilities.
- Excellent verbal and written communication skills.
- High attention to detail, especially when working to deadlines.
- Proficiency with online portals and document management systems.
- Ability to work collaboratively across multiple departments.
