Role responsibilities:

Office Operations & Support

  • Be the first point of contact for employees, visitors, and deliveries.
  • Ensure meeting rooms, communal areas, and work spaces are tidy, stocked, and ready for use.
  • Manage office supplies, stationery, refreshments, and snacks.
  • Coordinate building access, contractors, cleaners, and maintenance issues.
  • Support facilities management, including liaising with landlords, managing lease-related matters, and monitoring service charges.
  • Handle light administrative duties, including post, invoices, and records.
  • Assist with onboarding logistics for new starters (desk setup, welcome packs, office inductions).

Employee & Visitor Experience

  • Welcome guests and visitors, ensuring a seamless experience.
  • Provide general office support for employees and respond to day-to-day queries.
  • Support the implementation of health and safety standards in the office.
  • Act as a Fire Marshal, First Aider and Mental Health First Aider (certifications desirable but not compulsory – Valtech will support training where required).

Event & Culture Coordination

  • Plan and organize office events, team gatherings, celebrations, and wellness initiatives.
  • Collaborate with the Diversity & Inclusion team on company events and initiatives.
  • Coordinate catering, meeting logistics, and social activities to foster a positive office culture.
Experience required:
  • Excellent organisational and time management skills.
  • Previous experience in office coordination, facilities management, or administration.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal abilities to engage with employees, clients, vendors, and visitors.
  • Proficiency in Microsoft Office Suite (Teams, Word, Excel, Outlook, PowerPoint) and familiarity with office management systems.
  • A proactive and problem-solving mindset with the ability to work independently and as part of a team.
  • A positive, community-focused attitude with a passion for creating a great office experience.
  • Health & Safety, Fire Marshal, First Aid, and/or Mental Health First Aid certifications are desirable but not essential
