We are looking for an enthusiastic individual to join our friendly team to provide administrative support to the multi‑disciplinary Tobacco Dependency team. The role requires a keen eye for detail, strong organisational and communication skills, and the ability to prioritise work to meet deadlines.

Responsibilities
  • Sorting and distribution of incoming mail, both electronic and paper.
  • Routine processing of letters.
  • Ensuring urgent matters are brought to the attention of the appropriate person in a timely fashion.
  • Reporting any problems or issues to senior staff and seeking clarification if unsure of procedure.
  • Handling Hive referrals for the CURE team for inpatients and outpatient clinics.
  • Maintaining and facilitating telephone follow‑up clinics.
  • Responsible for the timely processing of referrals.
  • Arranging urgent appointments.
  • Demonstrating office procedures to new staff.
  • On‑the‑job learning of IT systems.
  • Liaising with GP’s regarding patient outcomes.
  • Arranging meetings and diary management, which may include junior medical staff.
  • Facilitating and supporting Cure Specialist Nurses with follow‑up clinics.
Qualifications and Experience

Applicants should demonstrate strong attention to detail, organisational and communication skills, and good interpersonal skills when liaising with medical, nursing staff and other colleagues across the Heart and Lung Division. Experience with office procedures and general office software is preferred. Willingness to learn IT systems, liaise with GP’s, and manage diaries is essential.
