We are looking for a receptionist to join our friendly team. This is a part‑time role of 24 hours per week. Weekly hours – Monday 7:30 am — 4 pm, Tuesday 7:30 am — 4 pm and Wednesday 10:00 am — 6:30 pm. Flexibility is essential for holiday/sickness cover. GP reception experience (including Emis Web and Docman experience) is preferable but training will be provided where necessary.
Interviews will take place week commencing 06.07.2026. Start date preferable week commencing 27.07.2026. Closing date is 01.07.2026 or sooner if sufficient applications are received. If you have not heard from us within 3 working days of the closing date you have not been successful on this occasion.
Main duties of the jobYour role is to provide a professional, consistent and efficient service to all users of Ellenbrook Medical Centre and to keep all information relating to patients and the practice business confidential in line with GDPR.
On a day‑to‑day basis there will be lots of contact (telephone and face‑to‑face) with patients, visitors and colleagues, while organising and actioning practice administration. Working independently and as part of a team, with good time‑management, is essential.

- Direct patients to appropriate areas within the surgery
- Be sensitive to patients’ needs and requirements
- Adhere to patient confidentiality
- Book appointments, take messages and process prescriptions as requested
- Ensure patients’ samples are sent or given to the appropriate department/person
- Report safeguarding concerns where appropriate
- Register new/temporary patients, input GP links, renewal registration and manage repeat prescriptions
- Respond to Emis Access requests
- Use NHSmail daily, answer telephone and take messages
- Send patients into surgeries, process prescriptions and deal with daily post
- Receive samples from patients and liaise with attached staff
- File, photocopy, record and send hospital referrals when requested
- Obtain results/letters from hospital as requested
- Handle duties other than reception: action messages, Docman workflows, scanning, baby clinic supplies, organise audits and chronic disease management clinics, keep the diary for non‑patient appointments, open mail and ensure letters reach recipients promptly, respond to ICB member requests, answer general enquiries, explain practice procedures, assist with general administrative duties, act as chaperone for clinical staff, maintain tidy areas, stock trolleys and doctors’ offices, photocopy, assist locums with queries
- Human‑resources responsibilities: attend meetings, training, and appraisals; keep memos or references relevant to daily tasks
- Physical and financial resources: ensure personal safety, good housekeeping, monitor stock, keep waiting room and other areas tidy, return patient records to Health Authority, ensure doctors’ trolleys are stocked, manage petty cash receipts, keep filing up‑to‑date, give patient receipts for private work
- Communication and leadership: open and deal with post, ensure all messages are complete, communicate with professionals and team members, attend meetings, record relevant information
- Planning and organising: plan and prioritise workload, collect and input relevant data, prepare paperwork for immunisations and baby clinics, take appropriate actions on risks, work closely with team members, encourage open, blame‑free culture, liaise with CCG/ICB/NHS England staff, social services, voluntary sector and other agencies to ensure continuity of patient care, coordinate with secondary services
- Analysis and data management: collect and input data into the computer system, use codes correctly, scan or record documents into patient records, update written records, provide copies/reports to solicitors/insurance companies/employers as required
- Research, development and audit: use training to update knowledge and skills
