Main duties of the job
- Open and close the practice premises, maintaining security according to protocol.
- Operate EMIS Web, Docman, Accurx and Microsoft Office (Word, Excel, Teams, Outlook) for appointment scheduling, medication management, and data entry.
- Manage high‑volume telephone traffic, prioritising urgent and emergency calls and promptly answering all incoming calls in a polite, friendly, and professional manner.
- Take, record, and relay messages accurately to clinicians and administrative staff.
- Process personal and telephone requests for appointments, visits, and telephone consultations, directing callers to the appropriate healthcare professional.
- Flexible rotation between front desk, telephone, back office, prescriptions desk, and other administrative areas as required.
- Record keeping, data entry, and sending of letters and text messages.
- Process and distribute incoming and outgoing mail, including repeat prescriptions in accordance with practice guidelines.
- Initiate contact with and respond to requests from patients, other team members, and associated healthcare agencies and providers.
- Provide clerical assistance to practice and associated staff, including word/data processing, filing, photocopying, and scanning.
- Maintain the reception area, notice‑boards, leaflet dispensers, and kitchen area tidy and free of obstructions.
- Assist with maintaining practice cleanliness and ensure patient facilities are fit for purpose.
- Provide a high standard of customer service at all times and be available to cover reception when required.
- GCSE Grade A to C in English and Maths.
- High standard of customer service, polite and courteous at all times.
- Ability to work in a busy environment, ensuring attention to detail and prioritising workload.
- Experience of working in primary care.
