We are seeking a highly organized and proactive Personal Assistant to support a group of senior leaders within our Transportation Division. This role can be based in Birmingham, Manchester, or Derby office. Working as part of a collaborative and supportive administration function, you will play a key role in ensuring the smooth and efficient running of business operations. This is a fast-paced and varied position, suited to someone who enjoys working with people, solving problems, and making a real impact behind the scenes.
Responsibilities- Managing complex diaries, meetings, and appointments.
- Coordinating travel, accommodation, and logistics.
- Preparing and submitting monthly expenses.
- Monitoring actions, deadlines, and key deliverables for Senior Leadership members.
- Producing high-quality reports, presentations, and correspondence.
- Maintaining accurate databases and filing systems.
- Creating, maintaining, and effectively using digital collaboration and communication platforms such as SharePoint, Microsoft Teams, Viva Engage, and other channels.
- Providing cover and support for colleagues when required.
- Tracking and chasing deliverables such as performance reviews (PDRs), mandatory training, and other internal systems.
- Working closely with other administrative professionals to provide seamless support.
- Professional and confident approach with the ability to work under pressure.
- Strong organisational and prioritisation skills.
- Ability to manage multiple tasks in a fast-paced environment.
- Excellent communication and interpersonal skills.
- Proactive, positive mindset with a willingness to adapt.
- Discretion and a commitment to maintaining confidentiality.
- Strong IT skills, including Microsoft Office (Outlook, Excel, Word, PowerPoint), SharePoint and Teams.
- Strong time management skills with the ability to prioritise effectively and consistently meet deadlines.
